What is the Accounts Receivable Report?

The Accounts Receivable report will show you all the invoices that clients still owe you money for within the selected date range. In other words, this page will be a record of all the Open and Past Due invoices and includes the Project Number, the Project Name, the Client Name, the due date, the status, and the amount.

Navigating to the Accounts Receivable Report

To access the Accounts Receivable Report, click Money in the Menu Bar on the left-hand side of the screen and select Accounts Receivable in the sub-menu.


πŸ’‘ The calendar will default to the last month. Whatever date range you select will be the same across all 4 tabs and report exports.


Different Parts of the Accounts Receivable Report

When you navigate to this report, you will see a date range selector and a Total Amount, which is the total dollar amount of all Open and/or Past Due invoices created in Monograph.

The table below will include the following columns:

  • Invoice #

  • Project #

  • Project Name

  • Client

  • Issue Date

  • Due Date

  • Status

  • Amount

When an invoice is Partially Paid, hovering over the partially paid amount will show the payments that have been made along with the date of each payment.

πŸ’° Payments Users Note: As this is money that is still pending to hit your account, no Convenience Fees are shown as they have not yet occurred.


Exporting the Accounts Receivable Report

At the top right of the screen is the "Export" button to export to a CSV file.

When you click on this button, you will see that there are two report options to choose from when exporting the Accounts Receivable Report.

Both of these reports will be emailed to your email address after selecting 'Export'. Depending on the size of the report, it may take a few minutes prior to hitting your inbox.

The Export > Accounts Receivable option will email you a .csv that will mirror the information shown on the page, based on the date range selected.

The Export > All Transactions option will export an overview of the transaction history for each invoice over the selected date range. The columns included are:

  • Date - will correspond to the date of the transaction

    • If using Payments, this is the date that the money hit your account.

    • If not using Payments, this is the date that the invoice was marked as paid.

  • Account - will be noted as either Accounts Receivable or Revenue

  • Description - includes the invoice number and client name

  • Debit - represents the amount of the invoice / the amount that the client still owes you

  • Credit - represents the paid invoice

*If you have passed on your convenience fees, then the fees will be broken out separately.


πŸ’‘ Export Transactions is a valuable report to send to your accountant or bookkeeper every month so that they can reconcile the journal entries, or manipulate the .csv for importing into your accounting system.


Where Does This Information Come From?

All of the information you see on the screen comes directly from all Open and/or Past Due Invoices created in Monograph.

In order for information to appear on this report, you must create invoices through Monograph.


Report Use Cases

What is my expected accounts receivable total for a particular timeframe?

Select a date range and head to Accounts Receivables. This will show you all past due and open invoices to give you a better picture of what is still available to collect.


Permission Setting to Access the Accounts Receivable Report

Admin users will have access to this report by default. Only users with "View Financial Reports" enabled will be able to access the Accounts Receivable Report. In order to allow other users to have access, you'll want to make sure you have 'View Financial Reports' enabled.

If you do not see the Reports option, it means your current access level does not permit you to see Financial Reports. Please speak to an Admin for assistance.
