Adding Consultant Fees

How to add consultant budgets when building a project

After the project has been created and budget information has been added in the Firm Services page, it's time to move on to the Consultant Fees. Here, you will add the overall Consultant fee, which is the total amount of your project's budget that will be allocated towards consultants. This is also where you can add different consultant types at a project level or phase level and apply Consultant Markups.

After creating a new project, if no consultants have been added, you'll be prompted to enable automatic invitations for any consultants as they are added to the project's Consultant Fees page.

To setup automated invitations for a project, click Start sharing. This will ensure that any consultants who are added to the Consultant Fees page will automatically be invited to collaborate.

To bypass the automated invitations, click Skip for now to proceed with adding consultants without inviting them. This setting can be enabled or disabled for a project at any time by navigating to the project's Details page.

After adding consultants, as budgets are added, the unallocated and allocated amounts will update.

If the total Consultant Fee needs to be adjusted, click on the purple Edit icon to enter the new amount. This will also update the Total Project Budget to reflect accordingly.

To begin adding consultants, first decide if they will be a Phase Consultant or Project Consultant. This will be important for invoicing purposes, as it will determine how the Consultants appear on an invoice. Ensure that you have added both the Consultant Company and the relevant contact, when applicable, in the Consultant Directory prior to this step.

Adding Phase Consultants

If a Consultant won't be involved in the whole project, they can be added at the phase level to only be associated with specific phases. This is also the spot to enter consultants who may be billing in phases with your firm. For example, the Structural Engineer may be billing at the completion of certain phases.

To add a Phase Consultant, first select the Consultant from the drop-down. Then select the company. If there is a markup, the default markup percent from Settings > App Default > Consultant markup will pre-populate. If this needs to be adjusted, click into the field and update as needed.

Once the consultant and markup have been added, use the + Add a Phase drop-down to add the applicable phase(s) and budget(s). Repeat this for any other Phase Consultants that should be added.


Adding Project Consultants

If a Consultant will be involved throughout a project rather than only in specific phases, they can be added at the project level.

To add a Project Consultant, first, select the Consultant from the drop-down and then select the Company. The markup amount will again pre-populate and can be adjusted if needed. Once they've been added, add the applicable budget.

Once the budget has been added for the Project Consultant, repeat this for any other Project Consultants that should be added.


Editing a Phase or Project Consultant

To edit a Consultant's type or budget, click on the Edit icon next to the applicable Consultant. If they should be removed completed, click on the X icon to delete them instead.

To note: if a Consultant has already been added to an invoice, that Consultant cannot be edited or deleted.

After all Consultants have been added, move on to the Details page in the sub-menu to enter the project's general information.

Hourly Consultants

At this time, Monograph isn't able to track hourly consultants. As a workaround, if you would prefer to track and invoice for hourly consultants, you can use Expenses.

To log an Expense for tracking hourly consultants, first create the expense rate for that specific consultant. Then, navigate to the Expenses Report to add a new expense (the expense will be associated with whomever adds it). Finally, when it's time to invoice, you can add the expense on the Expenses tab in the Invoice Builder.


🚨 Any existing projects that included Consultants prior to December 5, 2022 will appear as Project Consultants. We do not recommend adjusting these and instead recommend adopting Phase Consultants only for new projects going forward.


Next Steps for Project Creation

You've finished adding Consultants - now what? Make sure that the project's budget information and team assignments have been added in the Project Budget page, and then add any additional project Details to ensure that the project is fully setup.
