How to Use the Unbilled Report

Never lose track of unbilled work again.

Unbilled Report Overview

The Unbilled Report provides visibility into the amount of unbilled work accumulated for each project so you know which projects to invoice. As your team logs time in Monograph, the Unbilled Report will automatically update to show the most current amounts that need to be billed.

🚨 For hourly phases without a max cap, you'll notice a “--” displayed in place of planned services. This indicates that no specific budget or planned services have been assigned to that phase.


The list can be sorted in ascending or descending order by clicking on the header for any of the columns. To narrow down the clients that appear use Client, Project, and/or Project Type filters. Additionally there is the Consider work until filter.

The Project Type filters include:

  • Active - shows projects with an "Active" status, regardless of if there is an unbilled amount

  • All Projects - shows all projects, regardless of status or if there is an unbilled amount

  • Unbilled Balance - shows all projects with unbilled amounts, regardless of status

Along with the filters, there are Totals for Planned Services, Invoiced Services and Current Unbilled displayed at the top of the report. If any filters are applied to the report, then the Totals will be updated to reflect the filtered data.


🚨 Users with the "View Invoices" permission enabled will be able to access the Unbilled Report. Users who do not also have the "Create Invoices" permission enabled will not see the option to create an invoice.


Unbilled Report Columns

The Unbilled Report includes the following columns to help track project progress and billing status:

  • Project Name: Click the arrow next to the project name to expand the section and display all associated phases, including both hourly and fixed-fee phases.

  • Client Name: Displays the client linked to each project for quick identification.

  • Planned Services: The sum of all phase budgets and maximum caps assigned to the project. This serves as the baseline against which invoiced and unbilled services are measured.

  • Complete: Shows, as a percentage, how much of the planned services has been reached based on invoiced amounts—offering a quick visual snapshot of project progress.

  • Invoiced Services: The total value of billable time that has already been included in invoices.

  • Write-Offs: Allows you to quickly adjust the total unbilled value.

  • Unbilled: The remaining billable work not yet invoiced, calculated as the total logged billable time minus any write-offs applied.


Invoicing with the Unbilled Report

The Unbilled Report can be used as a to-do list for all of your next invoices, giving you a clear view of what needs to be invoiced for each project; making your invoicing process more efficient.

While reviewing Unbilled column, you may notice alerts indicating that certain project phases have exceeded their assigned budget limits. These notifications are meant to help monitor project progress and maintain better control over resource allocation.

Here are some of the alerts you may encounter:

  • The hours worked have exceeded the plans budget for some of your phases

  • The hours worked have exceeded the planned budget for this fixed fee phase

  • The hours worked have exceeded the max cap for this hourly phase

These alerts are informational only and do not prevent invoice creation. Their purpose is to provide visibility into potential budget overages, allowing for more proactive project and financial management.

After reviewing the Unbilled column, invoices can be created directly from the same page. To create an individual invoice, click the Invoice button next to the Unbilled amount.

To create multiple invoices at once, the Bulk Actions feature allows for efficient batch invoice creation, saving time when working with multiple unbilled items.

🚨 Users with the Create invoices permission can view the Bulk Actions button on the Unbilled page and use it to create multiple invoices at once.

Write Off time

Write-offs can be managed directly from the Unbilled report. Hover over the Unbilled value to see a detailed breakdown that includes:

  • Unadjusted unbilled time logged before the last invoice.

  • Unadjusted unbilled time since the last invoice.

  • Any write-offs that adjust the total unbilled value.

The unadjusted unbilled values are based on two time ranges separated by the service period end date of your firm’s most recent non-draft invoice.

  • "Prior to [date]" represents all billable time logged before the day after the service period of your most recent non-draft invoice billing period.

  • "[Date] to [date]" represents all billable time logged before the day above until the "Consider work until" filter is set on the Unbilled report.

🚨 When at least one phase is over budget on a project, the Unbilled value for the entire project will be red with a tooltip icon.

To begin writing off, click the project name or the arrow to expand all phases, then click +Add. This will open the Write-Off page. This will take you to the Write-Off page, where you can choose one of the two available options:

Apply write-off to all
Quickly adjust the total unbilled value. Write-offs applied to all are divided among team members proportionally based on their logged hours.

Assign write-off to individuals
Allocate write-offs to specific employees and roles as needed.

For any selection, the system will alert you if the write-off amount exceeds the total unbilled value.

After applying a Write-Off, return to the Unbilled page to review the changes. Hovering over the write-off amount will display details such as who applied it, the date, and any notes included. Hovering over the Unbilled amount will also show the adjustment details. To make changes, click the three dots located at the right, where you can either edit time entries or edit the write-off.

Exporting

To export the Unbilled Report, click on Export in the upper right corner to generate a CSV which will be sent to the email address that you use to log in to Monograph. This will include all of the information based on the filters applied prior to exporting.


Frequently Asked Questions

How is the Total Unbilled amount calculated?

The Total Unbilled amount is calculated by taking your total billable timesheet entries that have been made and comparing them with the services that have been invoiced. You can confirm this amount by clicking on the dollar amount under the Unbilled column to open the Time Log and refer to the total that appears, and then subtract the Invoiced Services total from the Unbilled Report.

Why can't I select or create invoices from the Unbilled page?

If a user has only the View invoices permission, they can view the Unbilled page and expand phases to see details—but they won’t see checkboxes or have the ability to take action on invoices.

How does the 'Consider work until' filter affect the data shown in the Unbilled report?

When this filter is used, the amounts shown reflect time logged from the end date of the last invoice up to the date specified in the 'Consider work until' field. The date range's starting point is not specified since not all projects have the same date through which they were last invoiced.
