π¨ In order to use the Time Off feature, it must first be enabled within Monograph's Settings by an Admin user. Learn more about enabling Time Off.
Navigating Time Off
Once the Time Off feature has been enabled for your team, new pages related to Time Off will appear on the left-side navigation menu under "Time".
Your Time Off
The Time Off page is where an employee can request time off for any policies that they've been assigned to. This is also where an employee can view all of their balances and any Time Off history. This can be found by navigating to Time > Your Time > Time Off.
Team Time Off
The Time Off Requests page is where Admin users, or any users with "Can Manage Time Off" permissions enabled, can view any Time Off history for the team within a specified date range. This can be found by navigating to Time > Staff Time > Time Off Requests.
How to Request Time Off
To request time off, navigate to Time > Time Off and select the appropriate PTO policy.
This page will also show a list of any upcoming PTO that you have already requested, along with the following information:
Type - the type of PTO policy that was used to request time off
Dates - the dates of the time off request
Requested Hours - the total number of hours requested
Approver - the person who approved or denied the time off request
Status - the status of the time off request
Pending, Approved, Denied, Canceled, Taken
Once you've selected the appropriate PTO policy, enter the dates of the request, as well as how many hours will be requested for each day within the selected date range. You'll also have the option to add a Note to provide more information about the request.
Click Send Request once complete.
Once the request has been made, it will appear in the Upcoming Requests with a Pending status. The status will update once the request has been approved or denied.
π‘ If Company Holidays have been set up for your organization, then you will not need to request Holiday time off. Instead, they will automatically populate in timesheets for any team members assigned to a Holiday policy.
How to Edit a Time Off Request
If a submitted time off request needs to be edited, you may do so by navigating to Time > Time Off.
Under the Upcoming Requests, select the ellipses icon to the far right of the request that needs to be changed and then Edit.
From there, the Dates, Hours for each day, as well as Notes can be edited as needed. Once completed, click Save to re-submit the request.
π‘ Users with "Manage Time Off" permissions can edit requests on behalf of any team members from the Team Time Off page.

Alternatively, users who are made approvers for a specific policy may also edit requests on behalf of any team members for that policy.
At this time, users are not able to request time off on behalf of other team members.
How to Cancel a Time Off Request
In the case that a Time Off request needs to be canceled (due to incorrect information or a different reason), this can be done on the Time Off page under Upcoming Requests.
Once here, click on the three dots to the far right of the request and select Cancel Request.
A pop-up will then appear with a warning that canceling a request cannot be reversed. If this should still be canceled, click Confirm to remove the request.
Requests can be canceled up until the time off start date. After that, the request can no longer be canceled.
Approving and Denying Time Off
π¨ Only users with "Can Manage Time Off" enabled are able to approve and deny time off.
When an employee requests time off, all Admins and users with the necessary permissions enabled will receive a notification via email with the employee's time off request information.
Click View Request to be taken to the Time Off Requests page.
Once on the Time Off Requests page, pending requests will be organized at the top of the list, organized by the request submission date.
Clicking on the request will expand the details to show each specific date requested, as well as how many hours were requested for each day.
Click on Respond to approve or deny the request. The Note field can also be filled out to include a reason for approving or denying the request, which will appear in the employee's Time Off history.
Once the request has been approved or denied, the employee will receive a notification via email to inform them of the status of the request. If a note was included in the response, the note will also appear within the email notification.
π‘ Responding directly to the email notification will email the Monograph Support Team. If an employee has any questions about why their request was approved or denied, they should reach out to the approver directly.
Reporting on Time Off
π¨ Only users with "Can Manage Time Off" enabled are able to access the Team Time Off page.
To view a report of your team's Time Off request history and/or upcoming requests, navigate to Time > Team off requests. This will show all time off requests within the specified date range.
The following filters can also be applied to narrow down the requests that are shown within the report:
Date Range - shows requests that are included within the specific date range. The date range filter remembers the last selected dates.
Employee - shows requests that are submitted by the selected employee
Status - shows requests with the selected statuses (multi-select)
Defaults to show only Approved and Pending
Time Off Policy - shows requests that are submitted for the selected policy
