Viewing Invoices in the Mobile App

Learn how to view invoices in the mobile app, including how to access invoice details, statuses, and balances while on the go.

Viewing Invoices

Click the Invoices ($) icon at the bottom of the mobile app to view a list of invoices in Monograph. Invoices are sorted by most recent activity, making it easy to quickly identify the latest updates.

Each invoice displays key information, including:

  • Project number and project name

  • Invoice number

  • Invoice status

  • Most recent activity related to the invoice

  • Issue date

  • Total amount

Invoices are displayed by the projects the user is following, along with recent activity on invoices, such as invoices being created, issued, or commented on.

Quick filters are also available to help narrow down invoice results, including:

  • Open

  • Past Due

  • My Projects

  • Issued in the Last 30 Days

  • Issued in the Last 90 Days

Additionally, you can use the search bar at the top of the screen to quickly find invoices by typing directly into the search field.

🚨 Access to the Invoices section on the mobile app is available only to profiles with the View all invoices and consultant bills and/or Edit all invoices and consultant bills permissions enabled.


Invoice Details

Selecting an invoice opens the Invoice Details screen, where key billing and project-related financial information can be quickly reviewed directly from the mobile app.

At the top of the screen, the invoice header displays important details, including the project number and project name, invoice number, current invoice status (such as Draft, Open, Paid, or Past Due), issue date, and total invoice amount.

Other parts of the Invoice details are the option to preview, send reminders, share, and view the activity log. Continue reading to learn more about each one.


Preview Invoice

The Preview Invoice feature makes it easy to review an invoice exactly as it currently appears in Monograph desktop. The preview displays the invoice’s current status, formatting, and all included details, helping quickly confirm invoice information and accuracy while moving through the invoicing process more efficiently.

To zoom in or out while reviewing the invoice, use the standard pinch-to-zoom gesture on the mobile device.

Invoices in Draft status cannot be edited or deleted from the mobile app.


Reminders

The Reminders option allows reminder settings to be viewed and managed directly from the mobile app.

To send or manage reminders for an invoice, open the invoice from the Invoices screen and tap Reminders. Select which client contacts should receive reminder notifications, add internal team members to receive copies of the reminder, and include an optional note as part of the reminder message.


Share Invoice

The Share Invoice option provides a quick way to distribute invoices directly from Monograph. Invoices can be shared using Monograph’s built-in email functionality or through other available sharing methods on the device.

This makes it easier to quickly send invoice details to clients or collaborators while keeping the invoicing process efficient and accessible. There are two ways to Share the invoice:

Send invoice - Email invoices directly to clients from within Monograph using the platform’s built-in email functionality.

Select one or more contacts from the client contact list, as well as internal team members, to quickly share the invoice without needing to leave the app or use an external email platform.

Share link - Allows invoices to be quickly shared through the device’s native sharing options on both Android and iOS. Invoice links can be sent through apps such as WhatsApp, Facebook, email, messaging apps, and other available sharing channels directly from the device.

This feature provides a fast and flexible way to share invoices using the communication tools already available on the mobile device.


Activity log

The Activity Log provides a record of updates related to an invoice. This can include events such as invoice creation, status changes, edits, reminders, sharing activity, payments, and other updates made throughout the invoicing process.

In addition to tracking invoice history, team members can add internal comments directly within the Activity Log and use @mentions to notify or collaborate with specific teammates.

This helps keep invoice-related communication and discussions organized in one place.
