Monograph's mobile companion app allows you to log time while on the go, allowing you to remain focused on your work while keeping track of time accurately.
Getting Started
To get started, search for "Monograph: Time and Expenses" or click here in the iOS App Store or "Monograph" in the Google Play Store or click here.
After downloading and opening the app, log in using the email and password associated with your Monograph account. Click "Forgot your password" if you have trouble logging in and need to reset your password.
Upon logging in, the app will open to today's date and, by default, will show a list of any projects or overhead categories that have been added in Staffing for the current week for the team member who is using the app.
When logging in for the first time, you'll be prompted to allow notifications, which will allow Monograph to send notifications to manage your time tracking.
Click Allow Notifications to be taken to your iPhone Settings, or click Don't Allow to skip setting up notifications. This can always be updated in your iPhone Settings at a later time.
For users with an iPhone 15 or above, your timer can be quickly accessed by clicking on the Monograph logo that appears at the top of your phone in the dynamic island.
Clicking on the logo will expand the timer to show the details. The timer can also be stopped by clicking Stop timer.
For all other iPhone users, your timer will appear on the lock screen while it is running in the background.
π‘ All team members are able to access the app regardless of their permission levels or if the Timer is enabled for use in Settings > App Defaults > Timer. There is not a way to block someone from downloading or using the app to log time.
Logging Time
Whether logging time in the mobile app or from a desktop browser, any hours entered in one platform will be updated to appear on the other platform after the page is refreshed.
Time can be logged either by using the built-in timer or by manually entering any hours that have been worked.
π¨ If a timer is started in the browser or on the app, it will not be started within the other platform. To pick up a timer in the app that was started in the browser, you will need to stop the timer, refresh your app by dragging the screen downward, and then start the timer again within the app. To pick up a timer in the browser that was started in the app, stop the timer, refresh your browser, and then start the timer again within the browser.
Timer Entries
To start the timer for a Staffed project, click on the "play" icon within the project's card. This will start the timer right away, and the icon will change to a "stop" icon to quickly stop the timer when needed.
To start a timer from scratch, click on the "+" button in the bottom right corner and select " Add new timer entry".
While the timer is running, it will appear at the bottom of the screen within the app. If any edits are needed while the timer is running, such as changing the activity or adding a note, click on the timer at the bottom of the page to open the time entry's details.
Click Save once the necessary changes have been made.
π¨ If your firm has settings enabled that require timesheet activities or timesheet notes, your team will also be required to add activities and/or notes when creating timesheet entries in the app.
To stop a timer, click on the "stop" button for the project. The timesheet entry will then be saved with the hours that were recorded while it was running. A previously stopped timer can then be started again at any point in the day by clicking on the "play" button again.
Switching Project Timers
To change timers while an existing project timer is running, first click on the "stop" button for the current timer and then on the "play" button for the new timer (or the "+" button to start a different new timer). Both timers will then appear as separate cards.
Alternatively, if the "play" button is clicked for another project while a timer is currently running, a pop-up will appear to confirm if you would like to continue. Click Yes to stop the current timer and start a new timer or click No to cancel and continue with the existing timer.
Manual Entries
In the case that you don't want to use the timer, hours can be added to projects manually. To manually add hours for a Staffed project, click on the "edit" icon within the project's card to add the hours as well as make any adjustments to activities or notes.
To start a timer from scratch, click on the "+" button in the bottom right corner and select " Add new timer entry".
When creating a manual entry, the initial hours will default to 0:00, but you can click on the hours to enter the hours/minutes worked. Alternatively, you can select any of the pre-populated increments.
The Date will default to today, but clicking on the date will allow you to update it to a different day.
If the project or overhead category isn't already populated due to being a new entry, click on Project/Overhead to select the project/phase or overhead category to log time. Any overhead items and recent projects will appear by default, but you can use the Search bar to search for any active projects/phases.
If a project/phase is selected, options to add both a Role and Activity will appear. Click on both options to select the applicable Role and applicable Activity that should be used to log the time. An option for a Note will also appear.
If an overhead category is selected instead of a project/phase then only the option to add a Note will appear.
Once all of the applicable selections have been made and the hours have been entered, click Save. The entry that was manually added will now appear in your project list for the day.
π‘ When adding time manually, hours can be typed in as either hours/minutes or as a decimal. If using a decimal, it will auto-translate to the 0:00 format. This option is currently only available within the app, not in the online browser.
Editing Entries
To edit a timesheet entry at any time, navigate to the applicable date and click on the "edit" button for the entry. This will open the entry's details where you can edit the hours that have been entered or the details that were previously added.
Alternatively, to edit an entry for a timer that is currently running, click on the active timer at the bottom of the page to open the timer's details.
After any necessary changes have been made to the hours or details, click Save.
Deleting Timesheets
At this time, there isn't a way to delete a timesheet entry from within the App. To delete a timesheet entry, navigate to Timesheets in your browser and delete the necessary entry from there.
Submitting Timesheets
As hours are logged during the week, the total hours logged each day will appear under each date. The Hours this week timer will show the total of any hours that have been logged throughout the week.
After all hours have been logged, click the Submit button to submit your timesheet for the week. If a timesheet has already been submitted and changes need to be made, make any edits necessary and click Resubmit.
Depending on your firm's Lock Timesheet settings, timesheets will be locked after a certain period of time. If a timesheet is locked, a lock icon will appear instead of the Submit or Resubmit button.
If edits are needed after a timesheet is locked, please contact your firm's admin to request that they unlock the timesheet.
