To effectively monitor a project's progress and assess how logged hours influence its budget, it is essential to consistently record your time in Monograph. This practice ensures accurate tracking of hours allocated to specific projects, phases, and activities, enabling better resource management and financial oversight.

Adding time worked to your Timesheet

To add time to your timesheet, navigate to the main menu on the left, click the clock icon labeled "Time," then select "Timesheets".

Note: If this is your first time logging time for the week and you have hours allocated to you in Staffing, those projects will appear automatically. If you do not have any hours allocated to you in Staffing and it is your first time logging time for the week, you will see a blank timesheet.

To search for a project, enter its name or number in the "Search for Project and Add Phase" text field. As you type, the dropdown will allow you to select the project, phase, and, if applicable, your role from the available options.

The billable rate for each role will be displayed next to the role, making it easier to identify the correct role and rate, especially if you have multiple billable rates within the same phase.

After selecting the project, phase, and role, an entry will be added to your timesheet.


☝️Important to Know!

  • Phase: Displays all active phases of the project, excluding those marked as completed or canceled. If you need to add time to a phase that is marked as complete, please contact the Project Manager or Admin.

  • Role: If you have multiple roles on a project, they will appear as options in the dropdown. To log time for different roles, simply search for the project again.

  • Billable Rate: The billable rate names will be displayed alongside each role. Note that if a billable rate name includes a dollar amount (e.g., "Principal - $200"), the dollar amount will be visible.

  • Default Role - if you have a default role assigned to you, it will be automatically applied to your timesheet entry. When you log time for a phase that you were not originally assigned to, your default role and rate will also be applied automatically.

Next, select the activity that best matches your task from the Activity dropdown. To add multiple activities to a specific project, phase, or role, click the black "+" button that appears when you hover over the activity.

Note: Activities are not required by default, but this is a setting that can be enabled by Admin users or users with the permissions to access Settings.

Once an activity is selected, add the hours by clicking on the timesheet cell corresponding to the applicable day.

Additionally, use the Note box to provide a description of what you worked on or include any other details required by your firm. If Timesheet Note Reminders are enabled in your Settings (Settings > App Defaults > Time Tracking > Timesheet Note Reminders) and a note isn't added to an entry, the cell will show as yellow to indicate that a note hasn't been added.

If you need to add an expense, click on the "Go to Expenses to add" link to be taken to the Expenses Report. Here, you can add expenses for projects or overhead. Expenses can also be added directly from the Project's Expenses page.

🚨 If Time Off is enabled for your team, then any Overhead Categories that have been associated with Time Off Policies will no longer be tracked as Overhead and will instead need to be submitted as Time Off requests. Learn more about enabling Time Off.

Changes to Your Timesheet

If you made a mistake and input the wrong phase on your timesheet you can click the purple pencil icon to the right of the phase name and change the phase to another Active phase. Alternatively, timesheet entries can be edited in bulk if needed.


If the pencil edit icon is greyed out, it indicates that there are open invoices associated with expenses on the timesheet, preventing any further edits.

Note: If your company has timesheets set to 'locked,' users without the "Edit All Timesheets" permission will not be able to modify the phase.

Submit Your Timesheet

Once your timesheet is finalized for the week, click the purple Submit button in the upper-right corner. If you forget to submit your timesheet, there will be no negative impacts, and your admin will still be able to view any hours entered for that week.

It is important to note that even if timesheets remain in the "Open" status, this does not affect invoicing or reports— all data is still included. The "Submitted" status simply provides a way to identify which timesheets have been finalized, although this step is not required.


Frequently Asked Questions on Timesheets

I manually added projects to my timesheet, but they disappeared the next day. Why?

If you manually add a project to your timesheet but do not log any hours that day, the project will be removed from your timesheet the following day. To keep a project on your timesheet, ensure that you log hours for it. Projects with hours assigned to you in Staffing will automatically appear on your timesheet.

Why aren't my projects from last week automatically populating into the current week?

Only projects with hours allocated to you for the current week in Staffing will automatically appear on your timesheet. If you logged hours for a project in the previous week, but that project does not have hours allocated to you in the following week, it will not automatically populate on your current week's timesheet.

Why can't I view future timesheets?

A: As of May 2024, future timesheets cannot be viewed or used for logging time. This change was made to minimize issues related to time tracking, as timesheets are designed to record completed time only.

Is it possible to copy time entries from one timesheet to another?

It is not possible to copy time entries from one timesheet to another. However, understanding how timesheets pre-populate each week can help make entering repeated time entries easier from one week to another.

Can I change the date on a timesheet?

No, you cannot change the date on an existing timesheet entry. Instead, you will need to add the correct entry and then delete the original, incorrect entry.

Can I import timesheets?

Currently, Monograph does not support importing timesheets from external programs.

How do timesheets pre-populate each week?

A: Any projects assigned to you in Staffing for the week will automatically populate your timesheets with those projects. If hours are not allocated in Staffing for the week, the project will not automatically pre-populate.

How do I request time off?

A: If the Time Off feature has been enabled by an Admin, you can request time off by navigating to Time > Time Off > Your Time Off. Learn more about requesting time off.

Do I need to request time off for holidays?

A: No, if Company Holidays have been added by an Admin, they will automatically be added for any team members who are assigned to the Holiday policy.

How can I add time for other team members?

You can add time for other people if you are an Admin or if your permission level is set to "Can Edit All Timesheets." To adjust permission levels for different roles, go to Settings > Permissions.

How does Staffing affect timesheets?

If Staffing is being used, any staffed hours for a project will be displayed in the circle next to that project/phase on the team member's timesheet. This serves as a guideline, showing how many hours the team member is scheduled to work on that specific phase for the week. If a team member exceeds their allocated hours, the circle will turn red to indicate an overage.

Below is an example of someone entering 30 hours for his timesheet when only 29 hours are allocated to this phase in the Staffing view. Once the entered hours exceed the allocated amount, the circle will turn red, as shown below.

Additionally, any projects assigned to you in Staffing for the week will automatically populate your timesheet with those projects. If hours are not allocated in Staffing for the week, the project will not pre-populate automatically.

Why can't I add expenses to my timesheet?

Expenses can no longer be added directly to timesheets. Instead, they are now associated with projects or overhead. To add expenses, you can use the Expenses Report or the Project Expenses page.

Why can my team see their billable rates on their timesheets when they don't have financial permissions?

Billable rate names are displayed on timesheets, but Monograph does not pull the actual billable rates into timesheets. If billable rates are appearing for your team, it is likely because they have been manually entered into the roles' billable rate names.
