How to Batch Edit Timesheets

Make changes to multiple timesheet entries at once.

Batch Editing Timesheets

It can be time-consuming to edit timesheets when multiple changes need to be made. To make the process more efficient, you can edit timesheets in bulk within Monograph.

To access Batch Editing, navigate to either the Organization Time Log or the Organization Timesheets page. Once here, click on Edit Time Entries in the upper right corner.


🚨 Only Admins or users with "Edit all timesheets" permissions enabled will have the ability to batch edit timesheets.


Dates and Filters

To narrow down the timesheet entries that appear at once (up to 50 entries per page), the following filters can be applied.

  • Date Range - the date range in which time was logged

  • Projects - the project(s) that had time logged

  • Phases - the phase(s) that had time logged

  • Roles - the role(s) that was used when logging time

  • Activities - the activity that was used when logging time

  • People - the people in which logged time

To clear any filters that have been added, click Reset Filters at the top of the page.

At this time, Overhead Entries are not able to be in batches.

How to Edit Timesheet Entries

To batch edit timesheets, use the checkboxes to select up to 50 timesheet entries that need to be edited. Once all of the applicable entries have been selected, click on the Bulk Actions dropdown and select the option to move hours to another phase/project, role, or activity.

Move Hours to Another Phase and/or Project

To move hours to a new Phase and/or Project, first search for the project's name in the Project dropdown. Once the applicable project has been selected, use the Phase dropdown to select the applicable phase. Click Save once the correct Project and Phase are selected.

From there, a new pop-up will appear confirming the changes that are about to be made and how many hours and timesheet entries will be updated. If any of the selected timesheet entries are on locked timesheets or the user has not been added to the Project Planner, the messaging will say so.

To proceed, select "I confirm that I want to move these hours" prior to clicking Save.

After the changes have been made, a banner will appear at the top of the page to confirm how many timesheet entries and hours were updated. Click on View Time Entries to see the list of entries that were updated.

Move Hours to Another Role

To move hours to a new Role, use the Role dropdown to select any of the roles that are added in your Staff's Roles & rates Settings. Click Save once the correct Role is selected.

From there, a new pop-up will appear confirming the changes that are about to be made and how many hours and timesheet entries will be updated. If any of the selected timesheet entries are on locked timesheets or the user has not been added to the Project Planner, the messaging will say so.

To proceed, select "I confirm that I want to move these hours" before clicking Save.

After the changes have been made, a banner will appear at the top of the page to confirm how many timesheet entries and hours were updated. Click on View Time Entries to see the list of entries that were updated.

Move Hours to Another Activity

To move hours to a new activity, use the Activity dropdown to select any of the activities that are added in your firm's Settings. Click Save once the correct Activity is selected.

From there, a new pop-up will appear confirming the changes that are about to be made and how many hours and timesheet entries will be updated. If any of the selected timesheet entries are on locked timesheets or the user has not been added to the Project Planner, the messaging will say so.

To proceed, select "I confirm that I want to move these hours" before clicking Save.

After the changes have been made, a banner will appear at the top of the page to confirm how many timesheet entries and hours were updated. Click on View Time Entries to see the list of entries that were updated.

After all necessary edits have been made, click Done in the upper right corner of the page to go back to the Organization Time Log or Organization Timesheet (whichever page you visited originally).


Frequently Asked Questions

I need to edit more than 50 timesheet entries. What do I do?

To edit more than 50 timesheet entries, you will need to make the edits in different batches. Once you edit the first 50 timesheet entries, you will then go back and select the next 50 entries to update. The process would be repeated until all necessary updates are complete.

Can I edit the project/phase, role, and activity all at once?

Edits to the project/phase, role, and activity cannot all be made at the same time. Each field will need to be updated separately (with the exception of project/phase since these fields are edited together).

Do I still need to use the Audit Timesheet page?

No - now that you can batch edit timesheets, the Audit Timesheet page will no longer be used and has been removed.

How do I know if I need to edit any timesheets?

You can determine if any timesheet entries need to be edited by regularly reviewing the Organization Time Log or Organization Timesheets pages.

What if I make a mistake when editing timesheets in batch?

If you make a mistake and identify it immediately, you should click on the "View time entries" link in the banner at the top to view the timesheets, select them, and revert the changes by editing the entries back. If you don't identify the mistake until later, you can always return to the "Edit Time Entries" page and use the filters to find the affected entries for editing.
