How to Log Time on Behalf of Other Team Members

Adding hours to other team member's Timesheets

There are times when a team member may not be able to log their own hours on their weekly timesheet (they may be out sick, on vacation, on leave, etc.), but they have hours worked on a project that needs to be logged.

Alternatively, there are also times when an Admin or Manager may find a mistake on a past timesheet and needs to quickly correct it to keep the project's reporting and invoicing accurate.

In either instance, the hours worked by that team member can be logged onto the timesheet by someone else in the office as needed.


🚨 Only team members with "Edit All Timesheets" permissions enabled are able to log time to other team members' timesheets.


Adding Time for Other Team Members

Active Team Members

To start, navigate to Time > Timesheets below Staff Time. This will default to show a list of all team members that are active during the current week.

From there, choose which team member to add time for by clicking on the purple hyperlink with the date under the "Week" column for the specific team member to open this week's timesheet.


💡 The project filter helps narrow down the list to only show people who have that project on their timesheet for the week—based on whether they’ve been assigned Staffing hours for it.


If a past week's timesheet needs to be edited, the Unlock button will need to be clicked first if your team locks timesheets. This button can be found by clicking on the three dots icon on the far right-hand side of the specific team member:

Once in the team member's timesheet, you can add time as needed before clicking Submit (or Resubmit if it's in a past timesheet).

Inactive Team Members

To add time for an inactive team member, you will follow the same steps as above, but you will want to go back to a week when they were still active.

If a team member is deactivated but needs to have their hours adjusted, this can be done following the same steps as logging time for an active Team Member, but you'll need to go back to a week when they were still an active user in Monograph.

To do this, use the Date selector in the upper left corner to go back to the correct timeframe to have their name appear in the Timesheets list, then Unlock the timesheet and access it through the date purple hyperlink under the "Week" column.

Once in the team member's timesheet, you can add time as needed before clicking Resubmit.
