The Staffing Projects view allows you to identify which projects need extra attention to ensure that you can bring in as many projects as possible on budget. When configuring your project's phase budget and team hours in the Project Budget page, these will automatically translate into a staffing plan that compares the time logged against the expected amount of work remaining.
π¨ Theβ Staffing Projects view can only be accessed or edited by Admins or users with "Manage Staffing" permissions enabled.
Understanding Staffing - Projects
Navigate to Staff > Staffing > Projects to see an overview of all active and proposed projects. This view will default to show active projects, but the Categories and Statuses filters, as well as the Search field, can be used to focus on specific projects.
If filtering by Categories, any projects that are tagged with the selected categories will be included in the view. If filtering by Status, any active or proposed projects will appear based on the status that is selected.
Projects with phases trending over budget are sorted at the top of the page. Otherwise, projects are sorted in ascending order by project number.
To view Staffing for a specific project, click on the project's name to open its staffing details.
Project-Specific Staffing
After opening a specific project's Staffing page, you'll be able to view the schedule and budget information for each week of each phase.
The phase bars show the total budget that will be spent each week. These totals come from adding up team members' budgets, which are calculated by multiplying their staffed hours for the week by their billable rates.
If a phase is overstaffed, the bar will be light red and the gauge will use a red color palette. If a phase is on or under budget, the bar will be light purple and the gauge will use a purple color palette.
To view the team members assigned to the project's phases, click on the phase name to expand the Team list.
Each cell will include the total number of hours that have been staffed to each team member across all projects relative to their available hours. If a cell is blank, this means that there are currently no staffed hours during that week.
Each cell is also represented by a color depending on how much has been allocated:
Pink - the team member is over-allocated and has no time available.
Yellow - the team member is under-allocated and has time available.
Grey - the team member is on track and their allocated hours equal their available weekly hours.
You'll also be able to see a total percentage for all team members in the phase at the top of the Team row. Hovering over the hours will show the total hours staffed out of the total hours available.
Keeping Your Staffed Hours On Target
To confirm whether your staffed hours for a phase are on target relative to your plan from the Project Budget page, you can look at the percentage in the gauge that is shown for each phase row. This represents the total hours logged and staffed for that team member within the phase, divided by the hours that were planned.
Hover over the gauge/percentage to see a breakdown of hours shown as Planned, Logged, Staffed, and Understaffed/Overstaffed. You'll also have the option to rebalance hours if needed.
Planned - the total hours entered in the Project Budget page for this person, phase, and role.
This is represented as GREY in the gauge and breakdown.
Logged - the total hours logged in Timesheets for the person, phase, and role from any time before this week.
This is represented as PURPLE in the gauge and breakdown.
Staffed - the total allocated hours entered in Staffing for this person, phase, and role starting with this week.
This is represented as RED in the gauge and breakdown.
Understaffed/Overstaffed - the total Planned hours less (Logged + Staffed) hours.
In addition to viewing the gauge for each phase, this information can also be viewed for each assigned team member. Click on a phase to show all team members and hover over any gauge to see the breakdown for that specific team member .
Editing Allocated Hours
In the Staffing - Projects view, allocated hours can be edited for each phase and team member. Click Edit to open the details for each team member within the phase.
A new screen will appear with the phase's details. Here, you can update the Max hours for each assigned team member and see the total dollar amount for each allocation. Team members can also be assigned to the phase by clicking + Add Team Member.
Once any changes have been made, click Done to go back to the project's view.
After clicking Done, a pop-up will appear prompting you to rebalance the hours. After selecting the appropriate option, click Rebalance.
Editing Phase Timelines
If a phase's dates need to be adjusted, this can be done directly from within the Staffing - Projects view rather than going back to the Project Budget page. Any changes made to a phase's dates in Staffing will also be updated within the Project Budget page automatically.
To expand or shorten a phase, hover over the phase's weeks until a purple outline appears to indicate that the phase is editable. Using your mouse, click on the purple dot to drag and drop to the appropriate start and/or end dates.
If shortening a phase, any hours that were staffed during the weeks that were removed will also be removed.
To note: if a phase has already begun and the start date needs to be adjusted, it will need to be updated in the Project Budget page. If the phase has not yet begun, then the start date can be edited by dragging and dropping as well.
When a phase is linked, a chainlink icon will appear to show that it is linked. If a linked phase's dates are adjusted, a pop-up will appear to confirm if you'd like to proceed with unlinking the phases. Click Yes, unlink if the phases should be unlinked to prevent their applicable dates from updating. Alternatively, click No if the phases should remain linked and their dates should be adjusted accordingly.
Once a phase is unlinked, it cannot be linked again within Staffing. Instead, you will need to re-link the phases from the Project Budget page.
