Whether you're fresh off a job site or wrapping a team meeting, Project Notes make it easy to document important details and turn them into action.

Project Notes help you:

  • Keep all updates organized within the relevant project

  • Quickly capture notes using voice, photo, or manual entry

  • Use AI-generated summaries to reduce manual work


🚨 Users with the "View all projects" permission enabled can create, edit, and delete project notes for all projects. Users without this permission enabled can only create, edit, and delete projects they are assigned.


Creating Project Notes via Mobile Device

Monograph Mobile is only available to users on the Grow or Track plans. Collaborative consultants with a free account can access Project Notes via desktop.

To create project notes in the Monograph Mobile app, click on the + Add Note tab. You can create a note in the app in three ways: by voice recording, capturing a photo, or manually entering text.

Record Voice

To add a note via a voice recording, go to the + Add Note tab in the Monograph Mobile app and select Record note. If you haven't already granted permission for Monograph to access your microphone, you'll be prompted to do so.

Select the project from the Recent Projects list and a screen will appear where you can start the recording by clicking on the microphone button. We recommend ensuring that everyone involved in the meeting has consented before recording a meeting.

To pause a recording, click on the purple Pause button - once the recording is paused, clicking on the microphone button again will resume the recording. To end the recording, click on the red Stop button.

If the Monograph app is closed while a note is being recorded, the recording will appear in the Live Activity cards (for phones that support Live Activities). Here, the voice recording can be stopped by clicking on the Stop button, or you can click on the voice recording to open the Record Note page again.

To note: a project timer can be running at the same time as a voice recording.

After the recording is stopped, it will save and then create an AI-generated summary. Both saving and generating the summary can take a few minutes, but you can leave the page and will receive a notification once the summary is ready to be added.

Capture a Photo

To add a note by taking a photo, go to the + Add Note tab in the Monograph Mobile app and select Capture note. If you haven't already granted permission for Monograph to access your camera, you'll be prompted to do so.

Select the project from the Recent Projects list and your camera will open to allow you to take a photo. After the photo is taken, it will be scanned and summarized before turning into a note.

After the scan is complete, it will save and then create an AI-generated summary. Both saving and generating the summary can take a few minutes, but you can leave the page and will receive a notification once the summary is ready to be added.

In the case that the summary cannot be generated, you'll have the option to take a new photo or try again.

Manual Entry

To add a note manually, go to the + Add Note tab in the Monograph Mobile app and select Add note manually. To type a note using voice dictation, click on the Microphone on your keyboard to grant Monograph access.

Select the project from the Recent Projects list and a new page will appear where you can manually type the note's content. After all of the necessary information has been added, click Save to project.

After the recording is stopped, it will save and then create an AI-generated summary. Both saving and generating the summary can take a few minutes, but you can leave the page and will receive a notification once the summary is ready to be added.

Saving Project Notes

After the AI-generated summary is complete, the +Add Note tab will show a yellow dot to indicate that there is an item that needs attention. Click on the tab to review the notes that

The drafted Project note will appear with the associated project, along with an AI-generated summary of the recording, the option to download the recording, and a shortcut to the full transcript.

To edit the project associated with the note, click on the project name to select a new project from the Recent Projects list. To download the recording to your phone, click on the Recording button. To view the full written transcript of the voice recording, click on Full transcript.

Once finished, click Save to project to save the note to the associated project. The note (along with the recording and full transcript) will then be available from the Project-specific Overview page on the desktop platform.


Creating Project Notes via Desktop

To create project notes from your desktop, click into any project to open the Project-specific Overview page. Any project notes that have been added to the project will appear here, along with the option to add a new note or upload a file to transcribe.

💡 Pro tip: Admin users can add the Weekly Pulse summary as a project note.

Click on Add as note and select your audience before adding the note to share with all team members and collaborative consultants, or only your internal team.

Manual Entry

To add a note manually via desktop, click into the text box and include the contents of the note. Team members can be mentioned in notes by adding "@" before their name, which will notify the team member via email and/or in-app notification, (depending on their selected settings) as long as they have "Project Updates" enabled for the specific project.

After the contents of the note have been added, click Add to save the project note and notify any applicable team members.

Upload File to Transcribe

To add notes from a file, click on the Upload file to transcribe button and select the file that should be uploaded. From there, a summary will be generated, along with the recording (if applicable) and the full transcript. If we can't generate a summary, you'll be prompted to try again.

Edit the summary if needed and then click Add to save the note, recording, and transcript to the project notes. Otherwise, click Discard to delete all of the information.


Viewing Saved Notes

Once saved, notes appear in the Project Notes section on the project’s Overview page via desktop. Saved notes are not accessible from the Monograph Mobile app.

Notes are displayed in chronological order based on the date and time that they were added.

From any note, you can:

  • Read the AI-generated summary

  • View the full transcript (for audio or PDF notes)

  • Download original files (audio or PDF)

  • Edit or delete the note if needed

Editing and Deleting Notes on Desktop

To edit or delete a note on desktop, hover over the note and click on the ellipsis that appears in the upper right corner of the note. Select Edit to edit the note and then Save once finished. The note will then include (Edited) before the text to show that it was edited.

To delete the note instead, select Delete. A warning will appear to notify you that this action cannot be undone and will permanently delete any associated files. Click Delete to proceed or Cancel to exit.

If a note has been deleted, it will be replaced with a (Note deleted) placeholder.


FAQs

Can I access Project Notes on the Free plan?

Project Notes are available on desktop for paid users. Freemium users may see a limited version on desktop but won’t have mobile access as the mobile app is only available to paid Track and Grow customers.

What file formats can I upload?

You can upload common file types like PDFs and audio files (e.g., MP3, WAV). We’ll scan and summarize the content for you.

What file formats aren't supported?

File types such as XLS and CSV are not supported.

Can I edit or delete notes later?

Yes! You can edit a note’s summary or delete a note entirely. Deleted notes will show a placeholder for context.
