What is the Forecast Report?
The Forecast Report provides you with the visibility to see how many hours your team is planned to work over a period of time.
Navigating to the Forecast Report
To access the Forecast Report, navigate to Analytics > Staff > Forecast.
Different Parts of the Forecast Report
Date Range Filter - Use this filter to select a date range to which you would like to view Forecast information for. The date range filter remembers the last selected dates. You can select dates in the Forecast report starting from up to one year prior to your subscription start date.
Overall Team Bar Graphs - These bar graphs will give you a breakdown of how many staffed hours we expect the team member to work over the selected date range. The black line across the chart indicates the default working hours over that time period. The default working hours can be entered into Settings > Organization > Utilization Rate > Default Weekly Hours.
In the above image, the Default Weekly Hours are set to 40 hours a week. The time period selected is for 8 weeks. 40 hours multiplied by 8 weeks is 320 hours - where the black line is drawn. If team members are over this line, then they have been staffed more than an average of 40 hours a week. Team members who are under, have availability.
Note: If you do not see the black line, then most likely your staffing allocations per week are too low and so the black line is 'off the chart' literally. To adjust this, revisit Staffing and/or allocate a team member close to the Default Weekly Hours to bring that back in scope.
Overall Bar Graph Summary - Hovering over a colored bar will show you the number of staffed hours for this team member for a specific project across the selected date range.
Individual Team Member's Bar Graphs - These bar graphs will give you a breakdown of how many staffed hours we expect the team member to work towards this specific project or overhead category on a week-to-week basis.
Individual Team Member's Bar Graph Summary - Hovering over a colored bar in the weekly view will show you the staffed number of hours we expect the team member to work for the week.
The dotted line above the graphs is the individual Team Member's hours to work.
Where Does the Information Come From?
All of the information on the screen comes directly from the staffed hours for each team member within Staffing. Please note that team members must have active profiles and phases must have a budget for the hours to be included.
Report Use Cases
What does my team's workload look like over a duration of time? Who has the capacity to take on this work?
Set a date range and the bars will adjust accordingly. The higher the bars, the more work they have been staffed. If people are over the black line, it means that they will most likely be working overtime for the date range selected.
Do I have to hire or bring on any interns in the next few months?
Set a date range and the bars will adjust correctly. If you notice your team's staffed workload is high and many folks are above the black line, it may be time to bring on extra help.
Is my team members' time being utilized accordingly?
Set a date range and the bars will adjust correctly. From there, scroll down to the team member weekly view. If the bars are below the dotted line, they are not reaching their target utilization rate.
What should the ideal state be of the Team Graph?
In an ideal environment, the bar graphs of all individuals are fairly uniform in height. This means that the workload is evenly distributed across the whole team.
I have some Team Members that are way over the black line, what does this mean?
If certain team members are way over the black line, it means that they have been assigned more hours than is in the standard default week. This may be a time to re-evaluate workloads. In looking at the overly scheduled individual, are their hours that could be distributed to other team members? Are there projects that could be reassigned to other team members?
Here are some other things to think about in the redistribution of work. What typology is this project? Do we have anyone else who is familiar with this type and could take this on? Do we have other staff who have expressed interest in exposure to this building typology and we could bring them in instead and/or alongside?
I have some Team Members who are way under the black line, what does this mean?
This means that those team members are allocated for less than the default weekly hours and have availability to take on more work.
Permission Settings to Access this Report
Admins will have access to this report. To allow other users to have access, you'll want to make sure you have 'View Team Reports' enabled.
If you do not see the Reports option, it means your current access level does not permit you to see Team Reports. Please speak to an Admin for assistance.
