Calendar Sync

Stay on top of key project dates (phases, milestones, deliverables) by syncing your calendar of choice.

By setting up a Monograph calendar subscription, you will automatically receive key dates on an ongoing basis for projects you follow and deliverables assigned to you. The following dates will automatically be added to your configured calendar for followed projects:

  • Phase start dates

  • Phase end dates

  • Milestone due dates

  • Assigned deliverable due dates

You will only need to set up your calendar once per calendaring software used (so long as these sync across all of your devices). After setup, your calendar will receive pushed changes as your projects' dates change and new ones are added. Any changes made on the calendar will not be synced back to Monograph.

Calendars will continue to receive updates as long as your profile is active in Monograph. When a profile is made inactive, all previous dates will be removed and no further ones will be added.

Getting Started

Navigate to Staff > Team > Directory and click on your name to open your Monograph profile. Once here, scroll down to "Calendar sync" and copy your personal URL.

Continue to follow the instructions below depending on your specific calendar software used:

Apple Calendar

  1. Open Apple Calendar, click "File" -> "New Calendar Subscription"

  2. Paste your copied URL from above into "Calendar URL"

  3. Customize the name and settings if you would like

  4. Done! 🎉

  5. Within a few moments, your events will sync down to your Apple Calendar

Google Calendar

  1. Go to Google Calendar, in the left sidebar, click the "+" icon next to "Other calendars", then click "From URL"

  2. Paste your copied URL from above into "URL of calendar", click "Add Calendar"

  3. Done! 🎉

  4. You can further customize by clicking on it in the sidebar under settings

    1. NOTE: Google Calendar only syncs changes every 24 hours. This cannot be customized

Microsoft Outlook

  1. Go to your Outlook calendar, and on the Home tab, select "Add Calendar" > "From Internet"

  2. Paste the URL from Monograph and select "OK"

  3. Select "Yes" when Outlook asks if you would like to add this calendar and subscribe to updates

  4. Done! 🎉


Frequently Asked Questions

What specific information syncs from Monograph into my calendar?

Your Monograph calendar feed includes events from:

  • Projects you're staffed on - any project where you have a role on a phase. You're automatically set to follow a project when you're given a role, so most users see these without doing anything.

  • Projects you follow - projects you've followed manually, even if you're not staffed on any of their phases.

For each of those projects, the following information is sent from Monograph to your calendar:

  • Phase Start and End dates - Included for all active phases on the project, not just the phases you're personally staffed on. So if you're staffed on one phase, you'll also see the start and end dates for the project's other active phases.

  • Milestones and Deliverables due dates - Milestones are included for the project. Deliverables are included only when they're assigned to you.

  • Number of deliverables complete in the milestone - Included in calendar event description, shown as "# / # deliverables complete"

  • Link to specific milestone or deliverable

  • "Completed" status - Reflected in milestone or deliverable name once complete, shown as "[Completed] Milestone Name"

If you neither follow nor are staffed on any projects, your calendar feed will be empty.

What is the time window Monograph uses when syncing events?

Monograph's Calendar sync uses a rolling two-week window, anchored on the current date: it imports and manages events dated from two weeks ago (start of day) onward, plus all future events. Because the window is anchored on today's date, it moves forward every day. An event that was inside the window yesterday may fall outside it tomorrow, at which point the sync no longer touches it.

If I change a phase, milestone, or deliverable date on my calendar, will the change be reflected in Monograph?

If you make a change to a phase, milestone, or deliverable event on your calendar, the change will not be reflected in Monograph.

I canceled a project - why did deliverables disappear from my Google Calendar?

When a project is canceled, Monograph stops including its deliverables in your synced calendar. On the next sync, Monograph rebuilds your calendar from your active projects only and removes events that no longer exist in that rebuilt set, including deliverables from the canceled project. Your deliverables and project data remain fully intact in Monograph; only the calendar events are cleared.
