What is the Deposits Report?
The Deposits Report (formerly known as the Payouts Report) will show all the money that has entered your bank account from Stripe, including which invoices are related to that payout, the amount, and which date the amount hit the account.
Keep in mind that the amount that hits your bank account, will not include the Convenience Fee, so that will not show here.
Some Payouts will be bundled, meaning there could be multiple invoices bundled together that come into your bank account as one transaction. In this case, all the invoices in that payout will be listed and separated by a comma.
See the first line of the image above. Once you click the down carat, you will see additional information for each invoice listed. This additional information is the Project Number, Project Name, Client and Amount.
π¨ The Deposits Report will only include information for users who accept or record Payments in Monograph. If you are not using Payments, then this tab will have no data.
Navigating to the Deposits Report
To access the Deposits Report, click Money in the Menu Bar on the left-hand side of the screen and select Deposits in the sub-menu.
π‘ The calendar will default to the last month but the date range can be updated as needed using the date range selector.
Different Parts of the Deposits Report
When you navigate to this report, you will see a date range selector and a Total Amount, which is the total dollar amount of all payouts that have been received from invoices paid directly through Monograph.
The table below will include the following columns:
Invoice #
Payout Date
Amount
Convenience Fee
Additional information will be shown when clicking on a payout to see the individual invoice(s) information:
Invoice #
Project #
Client
Payment Date
Payment Type
Amount
Convenience Fee
π° Payments Users Note: Now that your client has paid, both the Amount and the Convenience Fee will be noted. If the fee was passed on to the client, then there will be a person icon in the convenience fee column.
Exporting the Deposits Report
In the top right of the screen are two export options. Both of these reports will be emailed to your email address after selecting 'Export'. Depending on the size of the report, it may take a few minutes prior to hitting your inbox.
The Export > Deposits option will email you a .csv that will mirror the information shown on the page, based on the date range selected.
The Export > All Transactions option will export an overview of the transaction history for each invoice over the selected date range. The columns included are:
Date - will correspond to the date of the transaction
If using Payments, this is the date that the money hit your account.
If not using Payments, this is the date that the invoice was marked as paid.
Account - will be noted as either Accounts Receivable or Revenue
Description - includes the invoice number and client name
Debit - represents the amount of the invoice / the amount that the client still owes you
Credit - represents the paid invoice
*If you have passed on your convenience fees, then the fees will be broken out separately.
π‘ Export Transactions is a valuable report to send to your accountant or bookkeeper every month so that they can reconcile the journal entries, or manipulate the .csv for importing into your accounting system.
Where Does This Information Come From?
All of the information you see on the screen comes directly from all payouts that you have received from invoices that have been paid through Monograph.
In order for information to appear on this report, you must create invoices through Monograph and have clients pay invoices through Monograph using the Stripe Integration.
Report Use Cases
I want to reconcile the payouts that I received through Monograph.
Select a date range and refer to the date that you received the payout. Click on the payout to see the specific details for each payment.
Note: The information on the screen will show you total amount that includes convenience fees. The amount that hits your bank account will have convenience fees deducted.
Permission Setting to Access the Deposits Report
Admin users will have access to this report by default. Only users with "View Financial Reports" enabled will be able to access the Accounts Receivable Report. In order to allow other users to have access, you'll want to make sure you have 'View Financial Reports' enabled.
If you do not see the Reports option, it means your current access level does not permit you to see Financial Reports. Please speak to an Admin for assistance.
