After accepting an invitation to collaborate on a project in Monograph, you'll be able to view and manage specific project information that is relevant to your team without making any changes for the other firm or consultant companies involved.
π‘ When you accept a project invitation from a firm, all future projects they invite you to will be automatically accepted. Your team will receive in-app notifications as these projects are added.
π¨ Consultants who have been invited to collaborate on projects cannot view any financial information set by the inviting firm, such as billable rates, budgets, etc., for phases shared with them.
Use the toggles below to learn more about each page related to modifying your projects, including what can and cannot be updated as a collaborating consultant.
Projects Page
After your company has been invited to collaborate on projects, any projects that have been accepted will appear in the Projects List.
Here, the sub-menu will also appear with links to the Milestones and Archive pages. The Milestones page will show an overview of all of your projects' upcoming milestones, while the Archive page will include any projects that have been archived and no longer appear on the Gantt Chart.

βοΈ Users with paid Monograph accounts: your collaborative projects will appear in the same list as your firm's projects.
The Projects Page provides a quick visual of all of your company's collaborative projects. In the sub-menu, you can quickly access the Milestones page for any Milestones assigned to your company, as well as the Archive page for any projects that have been archived.
By default, all projects will be sorted alphabetically. Use the Sort by options to change the sorting order and use the Filters to narrow down your project list based on project Statuses or Clients.
Each project is shown with the project number, project color, and project status. Companies with a paid Monograph subscription will also see the number of Staffed employees for the project.
The Gantt Chart shows an overview of the upcoming phases for each project, as well as the due dates of any upcoming Milestones. The vertical blue line represents today's date, while the horizontal bars represent each phase in each project.
The view can be changed between days, weeks, months, and quarters by using the dropdown in the upper right corner of the Gantt Chart. Alternatively, use the -/+ buttons to zoom in and out based on which view you'd like to use. Click on the Today button to quickly be taken to today's date.
Hover over a Milestone to see the upcoming due date or click on a project to open the Project Overview page for that specific project.
Project-specific Overview
The Project-specific Overview page provides you with a quick glance at a number of different data points for the current project you're viewing, including deliverables, invoices, and team members. This is also where you will go to upload an invoice for a collaborative project, which can be done by clicking on Upload Invoice in the upper right corner.
Click on More in the upper right corner and select Follow project or Unfollow project to determine whether you receive notifications on the project or not. If the project should be archived as a whole, click More and then Archive to remove it from the main project Gantt Chart.

βοΈ Users with paid Monograph accounts: the full Project-Overview page and all Project Tracking pages will be available, which will show information based on the portions of the project that are specific to your firm.
Project Gantt Chart
The project's Gantt Chart has the same functionality as the main Gantt Chart that can be found on the main Projects page, but with more detail shown for the specific project.
Any phases that are shared with the collaborating firm will appear with a special icon to indicate that it is a collaborative phase.
Project Deliverables
The Project Deliverables section shows a list of any upcoming deliverables that are due, sorted in order of the due date.
Any deliverables that are shared with the collaborating firm will be shown with a special icon to indicate that it is a collaborative deliverable.
Project Invoices
The Project Invoices section will show a list of any invoices that you have uploaded for the collaborating firm. You can also upload invoices here using the Upload Invoice button.
Team Members
The Team Members section will show a list of any team members that you have invited to your company account in Monograph.
Project Budget
The Project Budget page is where the project itself is planned and where both collaborative phases and company-specific phases can be added. Hovering over the shared icon next to the project's name will show which firm invited you to collaborate on the project.

Service fees / Unallocated / Allocated
At the top of the Project Budget page, you'll find the Service fees and the Unallocated/Allocated percentages. When viewing Service Fees on a collaborative project, this refers to the total budget your team will be working with on the project.
The Unallocated $ refers to the total dollar amount of Service Fees that remain compared to what has been allocated across your phases. The Allocated % refers to the total percentage of your Service Fees that have been allocated to phase budgets.
Editing Collaborative Phases
βοΈ Users with paid Monograph accounts: team members can be assigned to collaborative projects, along with a role/billable rate and budget. Adding team members and budgets will not impact the inviting firm and will only be visible to your firm.
Consultants who have been invited to collaborate on a project cannot edit any phase information other than the Budget Percentage and Budget Total fields; only the inviting firm can manage the Phase name, Linked Phase, Date range, and Fee type.
If the budget percentage or budget total is edited, the new values that are entered will only be visible to your company - they will not impact the original project information entered by the firm.
Adding Company-specific Phases
New phases can be added by consultants if there is additional work that needs to be tracked on the project. These phases will only be visible by the consultant company; they will not appear within or impact the firm's version of the project.
To create a new company-specific phase in a collaborative project, click on the Select a phase dropdown within the Project Budget page. Select an existing phase or select Create new phase type to create a new company-specific phase that will only be available to your team.
If creating a new phase, use the checkbox to select Save this phase for future use on other projects if this phase should be available globally for other projects. If it should only be available for this specific project, leave the box unchecked.
After entering the phase Name and Abbreviation and selecting the Fee Type (Fixed or Hourly), click Save.
After saving, the new phase will appear on the Project Budget page and the necessary details can be added.
Date range - the start and end dates of the phase.
Fee type - the phase is a Fixed or Hourly fee type.
Fixed - this can be thought of as a guaranteed budget.
Hourly - this can be thought of as a budget that is not guaranteed.
Percent - the percentage of the project's Service Fees that should be allocated to the phase's budget.
Updating this field will automatically update the Budget field to reflect the dollar amount based on the percentage.
Budget - the maximum dollar amount that should be allocated to the phase's budget.
If an Hourly fee type is used instead, then this field will instead appear as "Max Cap" since Hourly fees do not have guaranteed budgets.
After all of the necessary information has been entered, click Save to save the changes.
If a company-specific phase needs to be edited at any time, go into the Project Budget page and click on the Edit icon for the specific phase. If a company-specific phase will no longer be necessary and won't be worked on, click on the "X" icon to archive the phase.
Project Details
The Project's Details page will store important details about the project, such as general project information, address, and more. Much of this information will also appear on the Project-Specific Overview page.

The following project details can be edited without impacting other collaborating firms. The information that is entered here will only be visible to your company.
Project number - the number associated with the project
Project color - the color associated with the project
Project type - billable or non-billable project
Categories - the categories associated with the project
Project address - the project's address
Notes - internal notes related to the project
To note: only the inviting firm can edit the name and client associated with a project.
Click Save after adding any necessary information.
Milestones & Deliverables
Milestones are checkpoints within a phase that aid in evaluating the health of the project, while deliverables are all of the tasks or activities that must be within each milestone.
Consultants and firms can collaborate on projects by assigning deliverables to one another as work needs to be completed.

Frequently Asked Questions
Why can't I access the Performance page?
The Performance Report is only available to users with a paid Monograph account. Users with a free Monograph account will not have access to this page.
Can consultants view the rates and budget information for a project they were invited to?
No, consultants cannot see phase details such as billable rates or budgets set by the inviting firm. However, they can set their own budget for a phase, which remains separate and does not affect or appear in the inviting firm's budget.
Consultants with paid Monograph accounts can also assign team members with their own billable rates and budgets, which also dose not impact or appear in the inviting firm's budget.
Can consultants see information for other consultants, such as assigned deliverables, budgets, etc., that have been invited to a project?
No, consultants can only view information for projects and deliverables that they are assigned to. They cannot view any information related to other consultants.
