Auto-Generate Milestones & Deliverables

Upload a spreadsheet or text file to create a batch of milestones & deliverables for a specific project

Monograph makes it easy to create many milestones & deliverables at once for a single project. You can do this by either uploading a template spreadsheet format for direct upload or a free-text file uploaded via an AI assistant.

Getting Started

To get started, go to the Deliverables page on any of your projects that you have the permission to edit. At the top of the page, you will see an upload field where you will be able to add the file you wish to import.

The import and extraction process depends on the type of file used. A PDF, DOCX, or DOC file (max 50MB) can be uploaded, or you can download an XLSX template to complete and upload.

In both cases, the file uploaded will be saved to the project for future reference.

Uploading a Spreadsheet (Excel Document)

  1. Download the template file accessed via the "this template" link on the page

  2. Input milestone information in the "Milestone" worksheet and deliverable information in the "Deliverable" worksheet

    1. Do not change any of the headers to avoid errors in the upload

    2. You can use phase abbreviations or shortened versions of team members' names as you will be prompted for confirmation of Monograph's matching after upload.

  3. Save the file as a .xlsx

  4. Upload for processing

Uploading a text file (PDF or Word document)

  1. Draft a text file with a list of milestones and their associated deliverables

  2. Save the file as either a Word document (.doc or .docx) or a PDF (.pdf)

  3. Upload for processing

When drafting a free-text file with milestones and deliverables for upload, we recommend being structured in your organization of the file and including as much detail as possible to help guide the AI assistant that will parse your file.

  • Structured files can look like an outline broken down by phase and then milestone or a description of each phase with clearly labeled milestones and deliverables.

  • Recommended details for milestones include phase, description and date

  • Recommended details for deliverables include phase, linked milestone, description, due date and assignee


Reviewing Extracted Milestones & Deliverables

If there are no errors in the upload or parsing process, you will by prompted to review the milestones and deliverables extracted, along with the number that needs to be reviewed. These will not be added to your project until you confirm the details are accurate.

Click Review to begin the review process or Dismiss to delete the extracted information and start over.

The review is a two-step process. First, you will be asked to review and/or edit the milestones. You can edit or delete any detail on these milestones by clicking on Edit or X. When ready, click Next to move on to deliverables.

  • Milestones - the name of each milestone

  • Description - the description included with each milestone

  • Phase - the project's phase associated with the milestone

  • Date - the due date of the milestone

Next, you will be asked to review and/or edit the deliverables. You can edit or delete any detail on these deliverables by clicking on Edit or X.

  • Deliverable - the specific item/action/task that needs to be completed

  • Phase - the project's phase associated with the deliverable

  • Milestone - the milestone that the deliverable contributes to

  • Assignee - the team member responsible for completing the deliverable

  • Due Date - the due date of the deliverable

When ready, click Save on the Review deliverables page to add all of the milestones and deliverables shown to your project. If you cancel out of this workflow, you can either dismiss the extracted information to delete them or come back later for review.


Frequently Asked Questions

Why am I not being prompted to extract milestones and deliverables?

The option to extract milestones and deliverables is only available when a new project is created.

Do I have to wait on the extraction process to be completed before I work on my project?

No, you can work on your project however necessary while milestones and deliverables are extracted. You can also manually create milestones and deliverables in the meantime if you forgot to add anything to the upload.
