Complete the following items to ensure your QuickBooks Online account is fully prepared for a smooth integration with Monograph. Once these tasks are complete, you may register for the Enabling QuickBooks Online onboarding session.

Important! Before making any changes in QuickBooks Online, consult with your accountant or QuickBooks bookkeeper. Adjusting the chart of accounts or categorizations without proper guidance can affect your financial records and reporting accuracy.
☑️ Chart of Accounts Cleanup
The integration pulls data directly from your QuickBooks Online accounts. If accounts are messy or redundant, this can create mapping errors, duplicate records, or incomplete reporting in Monograph. To prepare:
Merge or make inactive any duplicate accounts
Rename accounts with clear, consistent titles where needed
Review main and sub-account structures to ensure they are organized logically
☑️ Cost Categorization Review
Clean categorization ensures expenses from the cost import feature flow correctly into Monograph, preventing misreporting or gaps in data. To prepare:
Review all transactions that will be imported into Monograph and confirm they are assigned to the correct expense accounts
Reclassify any expenses that are miscategorized
☑️ QuickBooks Services Configuration
Ensure QuickBooks Services are set up in your QuickBooks Online account so each project phase can be mapped correctly during the integration. The mapping process will be covered during the webinar. To prepare:
Create a QuickBooks Service for every project phase you plan to use
Confirm each item is set up as a Service in QBO (not Inventory, Non-Inventory, or Bundles)
Map each QuickBooks Service to an income account in QBO so it is accurately reflected on the Profit and Loss report
☑️ Vendor and Customer List Review
Clean vendor and customer lists ensure Monograph syncs with the correct records from QuickBooks. To prepare:
Review your vendor and customer lists in QuickBooks for duplicates or outdated entries
Merge or make inactive any duplicates
☑️ QBD to QBO Migration Completion
If you are migrating from QuickBooks Desktop (QBD) to QuickBooks Online (QBO), the migration must be fully complete before you can enable Monograph. Monograph does not support QuickBooks Desktop, and the integration should not be enabled until you are fully set up in QuickBooks Online.
