Frequently asked questions about Lead tracking and Project Managment

Who can manage the pipeline and create leads?

Anyone with the Manage Leads permission in Monograph can create and manage leads.

How do I add a new lead?

Click the New lead button in the top-right corner of the Leads page. Enter the project name, client, budget details, and more. Learn more.

What happens when I mark a lead as “Won”?

Selecting Won (generate project) will close the lead and convert it into a project, so you can begin managing it in your Projects workspace using the information already entered.

How do I find older or inactive leads?

Use the Lead age filter to quickly locate older leads or those that haven’t had recent activity. This is helpful for follow-ups or reviewing past opportunities.

Can my team log time to a proposed lead?

Yes. Once a lead’s proposed budget is finalized, team members can begin logging time. When a team member selects a role and phase for a lead in Timesheets, they’re automatically assigned that role and its associated rate within the phase.


Once a role has been assigned to a person within a lead’s phase, it will no longer be available for other team members to select in their timesheets.

Is any information from Pipeline/Leads used in reporting?

The following reports include information from Pipeline/Leads:

  • Work Distribution (found in Employee Profile)

  • Profit Report

  • Activity report

  • Time Log

  • (Additional reports may be added in future updates)

Do I have to use the roles and rates that Monograph suggested?

No. You can choose to ignore the suggestions from Monograph and enter your preferred roles and rates.

Can I update the budget after saving?

Yes. You can revisit the budget builder to make changes before sending the proposal.

However, once a lead is marked as Closed - Won and is changed to a project, any changes must then be made within the project's Budget page.

Will clients see my roles and hours?

No. The builder is an internal tool, so clients see only the proposal totals you choose to share.

Will I receive notifications about Leads?

Yes. Users can follow or unfollow leads just like any project.

  • Users automatically follow a lead when they create it.

  • Team members who log time to a lead are also set to follow it automatically.

Notifications can be managed by clicking the profile picture (located in the bottom left corner) > Notifications.

Can I assign imported project costs to leads?

Yes. Costs imported from QuickBooks Online can be associated with leads using the same steps as for projects.
