Automatic Invoice Generation

Automatically generate draft invoices across multiple projects.

Monograph allows firms to set a default automatic invoice generation that can be configured to streamline the process and ensure invoices are created consistently.

To set up automatic invoice generation, navigate to Settings by clicking the profile picture in the bottom-left corner, then select App Defaults.

From there, go to the Invoicing & Expenses section and toggle on Enable automatic invoice generation. This will allow invoices for the previous month’s activity to be created automatically.

When enabled in a project’s details, these configurations apply only to that project and override any firm-wide automatic invoice generation settings. To set specific Project automatic invoice generation, navigate to the Project details.

If the feature is disabled for a specific project, it will remain disabled for that project even if the firm-wide default setting is enabled.

Setting up Automatic Invoice Generation

Invoice generation can be customized by adjusting the following settings:

Invoice Generation Day

Select how many days after the end of the month invoices should be generated. Enter the number of days in the field.


🚨 Invoice numbers will automatically increment based on your existing format. For example, if the last invoice was project number-032, the next generated invoice will be project number-033.


Schedule Settings - Issue Date

The Schedule settings are found just above the Automatic Invoice generation toggle option. Choose how the invoice issue date should be set:

  • Last day of the month

  • First day of the month

  • Date of invoice generation

  • Open date

    • If the Open Date option is selected, the date the invoice is opened will automatically be used as the Issue Date. When this occurs, a “Synced with Open Date” label will be displayed in the invoice.

    • If the settings are configured to use the Open Date option, the Issue Date is automatically set to the date the invoice is opened. Until the invoice is opened, the Issue Date will remain blank. Once opened, the invoice will display a “Synced with Open Date” label to indicate that the Issue Date was automatically set based on the Open Date.

    • If payment terms are selected, they will be calculated based on the Open Date. Payment terms must be configured for this option to apply.

Select the default invoice terms from the dropdown menu. Learn how to create invoice terms here.


Current Due Definitions

Fixed Fee Services

Choose how invoices should be generated for fixed fee phases:

  • Revenue Schedule: Invoice for the percentage of the phase budget set on the Revenue schedule

  • Unbilled Value: Invoice for the total value of time logged but not yet invoiced or written off through the last calendar month.

  • Time Logged This Month: Invoice for the value of time logged during the last calendar month.


Hourly Services

Select how invoices should be generated for hourly phases:

  • Unbilled Value: Uses unbilled amounts per role

  • Time Logged: Uses time logged per role during the service period

    • To note: Using time logged during the month can result in under or overbilling clients.

Expenses and consultant bills that have not yet been attached to an open invoice will be included during automatic invoice generation, regardless of the invoice’s service date.


Notification Recipients

This feature gives you control over which team members should be notified when invoices are created, ensuring the right people stay informed throughout the process.

🚨 Only profiles with the permission to view invoices and consultant bills can be added for notifications


Permissions

Admins have access to this feature by default. To grant access to other users, they must have the “Create invoices and consultant bills” permission, which allows them to access and configure the feature.

Additionally, only profiles with the “View invoices and consultant bills” permission can receive invoice generation notifications and alerts.

Why Your Invoice Wasn’t Automatically Generated?

Automatic invoice generation may be skipped for several reasons. Review the reasons below to understand why an invoice may not have been generated.

  • If you manually create an invoice for the same service dates before the scheduled automatic invoice runs, the automatic invoice will be skipped to prevent duplicate billing. To avoid this, wait until the day after your scheduled automatic invoice date before creating a manual invoice for those service dates.

  • If your project has a draft invoice from an earlier billing period that hasn’t been finalized yet, a new invoice will not be automatically generated. This is designed to prevent new invoices from being created while an older invoice is still in draft status.

  • If there are no billable items for the selected billing period, the system will not create an invoice. The invoice is automatically removed if the total amount is $0, so no empty invoice is left behind.

  • When using the Time Logged this month setting, invoices will not be created if the phase's amount already billed has reached or exceeded the phase’s maximum budget. If all phases with logged time have already exceeded their budgets, there will be nothing new to bill. As a result, no invoice will be generated for that billing period.
