How it works
When prospective clients complete an intake form on your website (such as a Contact Us or Project Inquiry form), the form's confirmation email can be routed directly to a dedicated Monograph intake email address.
Monograph reads the incoming email and automatically extracts key details to create a new lead in your Pipeline, complete with client contact details, project scope, and estimated budgets.
What Information Gets Captured?
When a web form submission comes in, Monograph analyzes the submission to populate the following lead fields:
Lead/Project Name: Formatted automatically using the client's name or project address (for example, Miller ADU or Miller - 1145 Bellgrade Ave).
Client Information: Monograph checks your existing contact list for a matching name or email address. If a match is found, the lead attaches to that client. If no match exists, a new client record is created.
Lead Source: Automatically tagged as Website unless specified otherwise.
Target Start Date: Set to one month from the submission date if not explicitly provided in the form.
Monograph will also extract and fill in the following details whenever they are present in the form submission:
Project Description
Project Address
Estimated Budget
Category
Square Footage
💡 When a new client record is automatically created from a web intake form, it will not automatically sync to QuickBooks Online (QBO) until the lead is won and formally converted.
Finding Your Pipeline Intake Email
To begin routing web form submissions into Pipeline, locate your firm's unique intake email address by navigating to Settings > Organization > Pipeline Lead Generation.
Copy the generated email address listed in this section. It will be used as the recipient (or bcc/forwarding target) for your website form's notification settings.
💡 You must have the Manage Settings permission enabled to view the Pipeline Lead Generation settings and copy the intake email address.
Managing the Lead
Once a lead enters your Pipeline from your website, team members can review it and assign ownership by clicking on Edit and selecting a lead owner from the drop-down.
When a lead owner is updated, an entry is added directly to the project's Activity Feed detailing who made the change and who the new lead owner is. This helps your business development team track handoffs and maintain clear accountability for follow-ups.
Connecting Common Website Form Plugins
To route submissions into Monograph, enter your firm’s unique intake email address into your website form plugin's email notification settings.

Navigate to your form settings in WordPress to update the recipient details.
Contact > Contact Forms > Select your form > Mail tab
To: Replace the default email address with your Monograph Pipeline intake email.
From: Ensure this uses a valid email address belonging to your domain (e.g.,
[email protected]).Message Body: Leave the default mail tags included so Monograph receives all form fields submitted by the client.
Save your changes once updated.

Open your form in the WPForms builder to adjust notification routing.
WPForms > All Forms > Edit Form > Settings > Notifications
Send To Email Address: Replace
{admin_email}with your Monograph Pipeline intake email.Reply-To: Set this field to the submitter's email field tag (e.g.,
{field_id="1"}). This allows Monograph to map the entry to the client's email address.Email Message: Ensure
{all_fields}is present in the message body so all inquiry details are sent to Monograph.
Click Save in the top right corner when finished.

This feature works with any website form builder that sends an email notification upon submission—including standard forms on WordPress, Squarespace, Wix, Webflow, and custom HTML forms.
What happens if a lead submits a form twice?
If an existing contact submits a new inquiry using the same email address, Monograph matches the email to the existing client record and creates a new, separate lead entry in your Pipeline so you can track the new project inquiry separately.
