Definitions of common terms used throughout Monograph

Aa

Accounts Receivable - The report shows you all invoices with outstanding balances that clients still owe you within the selected date range.

Archive - Archiving means removing an item from your main view without permanently deleting it. It’s similar to deleting, but the data is preserved and stored in a separate, hidden area of the app, so it can still be accessed if needed.

Bb

Billable Rates - The amount you charge a client for each hour of work performed by a team member. This is different from the employee’s pay rate or internal cost, which is what the firm pays the employee. A billable rate is the rate used to calculate what the client is billed.

Bills - Bills are amounts your business owes to vendors, consultants, or other suppliers for goods or services they have provided.

Budget - Also known as the Planned Amount or Service Fee, this is the total fee you’ve set for a project. It represents the amount you expect to charge your client for the work included in the project, regardless of how much time or internal cost it takes to complete the work.

Capacity - This report shows how potential projects may impact your team’s future workload and whether you have the staffing capacity to take them on.

Clients - A client is a person or company that hires your firm to provide a service and pays for that service.

Consultant Overview - Shows your firm’s consultant financials in one place, including what you’ve planned, billed, paid, and still owe to each consultant.

Consultants - Outside professionals or firms that your company hires to provide specialized services for a project.

Contacts - A contact is an individual associated with an entity.

Dd

Dashboard - Provides a quick overview of your relevant projects, deliverables, and other key information.

Deliverables - A specific activity that needs to be completed. A project is considered complete when all of its deliverables are complete.

Invoice Designer - The tab where you select the template to be used for your invoice and add additional details, such as attachments, issue date, payment terms, due date, reference number, and more. Think of this as the first page of your invoice.

Expenses - A cost incurred by a business for goods or services needed to operate or complete a project. In Monograph, expenses can be associated with a project or overhead and tracked as part of the project’s financials.

Export - A function that allows you to export data as a CSV file.

Ff

Files - The area where all files uploaded to your firm are stored. Files can also be associated with a specific project, allowing you to keep and view project-specific files in one centralized location.

Project Financials - This report provides a clear, phase-by-phase breakdown of a project’s financials, including budgets, billing, expenses, consultant costs, and profitability. It shows how the report is calculated and what data is included, helping you better understand and analyze a project’s financial performance.


Ii

Invoices - A document sent to a customer that lists the goods or services provided, the amount owed, and payment details. An invoice is used to request and track payment from the client.

Invoices Received - This report shows invoices that other firms send to you for payment. If you’re a Monograph subscriber and create an account to make payments to other firms, you can view the invoices you receive in this report as well.

Invoice Templates - Pre-designed layouts used to create invoices consistently. They determine how invoice information is organized and displayed on the invoice.

Leads - Potential project opportunities that a firm is tracking before they become active projects or clients.

Mm

Milestones - Checkpoints within a phase that help evaluate the health and progress of a project.

Money - The section in Monograph where you can manage and track the financial aspects of your firm, including invoices, payments, expenses, and other financial information.

Online Payments - A feature that allows firms with Stripe enabled in Monograph to accept electronic payments from their clients. Firms can use Online Payments to give clients a convenient way to pay invoices online.

Overhead - An expense that is not directly related to a specific project but is still incurred by the firm and may be tracked or reimbursed.

Overhead Costs - A multiplier used to account for a firm’s overhead costs when calculating the true cost of labor. It helps provide a more accurate view of operating costs and is used in profit forecasting and cost-related reports.

Pay Schedule - A schedule that determines when payroll is processed and when employees are paid. This establishes the timing of time-off accruals.

Payroll Report - The number of hours your team has logged to overhead categories, representing time spent on non-project-related work.

Project Performance - A report that helps you compare project plans with actual project execution. It tracks planned, logged, and invoiced fees, as well as planned and logged hours, to help you monitor project performance.

Planned Services - The service fees a firm expects to bill for a project. Planned Services represent the anticipated fees for the project and are used to establish and track the project’s financial plan.

Invoice Preview - This is where you’ll review your invoice and mark it as open when you’re ready. This is the final stage, where you can preview exactly how the invoice will appear to your client.

Profit Report - Provides insights into historical profitability for all projects across your firm.

Profit Forecast - Provides insights into your firm’s future profitability based on the Revenue Schedule of Active and Proposed projects.

Project Teams - Designed to help organize your workspace. Group people for faster reporting and resource management.

Project Templates - A reusable project setup that provides a predefined structure and settings for creating new projects. Templates help streamline project setup and maintain consistency across similar projects.

Realization Rate - Shows the percentage of billable hours invoiced compared to overall billable hours, based on time logged and invoices issued in Monograph.

Retrospective Report - This report provides an overview of your historical revenue, logged time, and invoiced amounts.

Revenue - In Monograph, “revenue” refers to the sum of all firm service revenue (fixed and hourly fees) from all project phases whose timelines are completely within the specified filtered date range on open, paid, and past-due invoices.

Revenue Forecast - This report provides firms with a look at upcoming income by showing the Revenue Schedule and invoiced amounts.

Roles & Rates - These are designations assigned to team members that define their function or position within a project or the organization. Billable rates are the hourly rates associated with these roles and are used for billing clients and internal planning.

Smart Inbox - A dedicated workspace within Monograph where emails you forward are automatically processed to extract project information.

Staffing - The Staffing People and Staffing Projects views in Monograph help you manage and forecast your team’s workload and project allocations.

Tt

Team Activity - Provides visibility into your organization’s allocation of time per team member through the charts.

Team Directory - This is where you can find your team information at a glance. It also contains Employee Profiles, where you can find more user-specific information.

Time Log - Gives you insight into where your team is spending time across all projects by capturing all time logged over any duration.

Time Off - A feature that allows team members to request, approve, and track absences such as vacation, sick leave, or other types of leave.

Time Off Requests - A formal way for team members to request absences such as vacation, sick leave, or other types of leave.

Timesheets - A timesheet in Monograph is a tool used to record and track the hours that team members have worked during a specific week.

Uu

Unbilled - The value of billable work, expenses, or other project charges that have been recorded but have not yet been invoiced to the client.

Uncollectible - Refers to invoices that are no longer expected to be paid by the client. Marking an invoice as uncollectible allows you to write off the remaining balance so it is not left as past due indefinitely.

Utilization Rate - Measures how much of a team member’s available time is spent on billable work.

Ww

Weekly Pulse - A summary generated once per week that provides a high-level overview of project activity from the past week.

Write Off - Used to remove billable hours from a project or phase that will never be invoiced, such as when work exceeds the project budget or you decide not to bill for certain services.
