Setting Up QuickBooks Online Services

Monograph maps your invoice line items to the appropriate QB Services* in QuickBooks Online, aligning each phase and consultant with the correct service. This creates a detailed, Service-level line item breakdown in QBO for improved reporting.


Linking Phase Types to Service Items

To set up QuickBooks Services for each Phase within Monograph, navigate to Settings > QuickBooks > Phase Types.

The QuickBooks Service column allows you to select, from the dropdown, the service that should be associated with each global phase.

When an invoice is sent to QuickBooks Online, each line item will be mapped to each of the Services* accordingly with the appropriate rates and totals.


Linking Consultant Types to Service Items

To set up QB Services for each Consultant within Monograph, navigate to Settings > QuickBooks > Consultant Types. The QuickBooks Service column will allow you to select, from the dropdown, the service that should be associated with each type of consultant.

When an invoice is sent to QuickBooks Online, each Phase Consultant or Project Consultant line item will be mapped to each of the Services** accordingly with the appropriate rates and totals.


Linking Billable Expense Categories to Service Items

To set up Services for each Billable Expense within Monograph, navigate to Settings > QuickBooks > Expense Categories, specifically in the Send invoices to QuickBooks section. The QuickBooks Service column will allow you to select, from the dropdown, the service that should be associated with each type of Expense.

The QuickBooks Service column is used for mapping for invoicing purposes (billing a client), which is separate from the mapping for expense-recording purposes (when the firm incurs an expense). When an invoice is sent to QuickBooks Online, each Expense line item will be mapped to each of the Services accordingly with the appropriate rates and totals.


*Prior to February 11, 2022, all line items used the Quickbooks Online "Sales" item. This meant that each line from Monograph invoices went to the “Sales” revenue account within your Profit & Loss Statement in Quickbooks Online. This update allowed for each Fixed Fee and Hourly Fee line item to be associated with the appropriate Services on your Profit & Loss Statement.

**Prior to January 13, 2023, all Consultant line items used the Quickbooks Online "Sales" item. This update allowed for any Phase Consultant or Project Consultant to be associated with the appropriate Services on your Profit & Loss Statement.

Any line items included as Other Items will continue to go to the “Sales” revenue account in Quickbooks Online.
