What are Billing Rates?
Billing Rates provide more flexibility and control in tracking historical, current, and future Billable Rates for each Role. This allows you to easily update Billable Rates as they change for more accurate data in planning projects, as well as within timesheets, invoices, and reports.
Adjustable Billable Rates can be used in a few different ways. Some examples are:
Standard Rates - Billable Rates that are commonly used when planning most, or all, of your projects.
Non-Profit Rates or Discounted Rates - Billable Rates that are lower than your Standard Rates and can be used in multiple projects.
Premium Rates - Billable Rates that are higher than your Standard Rates and can be used in multiple projects.
Project-Specific Rates - Billable Rates that are specific to a Project that isn't using your Standard Rates.
Creating Roles and Billable Rates
To create a new role and associated billable rate, navigate to Staff > Roles & Rates and click on New Role.
From here, a pop-up will appear prompting for the Role Name. Click Next to enter the role's Billable Rate Name and Hourly Billable Rate.
If multiple billable rates should be added for the role, click + Add Billable Rate to add them simultaneously. Once the information has been entered, click Save.
Once the role and billable rate(s) have been saved, you'll be taken back to the role and billable rate schedule.
If more roles and rates need to be created, repeat the process above or click on the Actions button in the upper right corner and select Duplicate to create a copy of the role and current billable rate schedule. This will also include any assigned employees at the time that it is duplicated.
π‘ The role name will appear on invoices for Hourly Services, while the billable rate name will only be shown internally in Monograph.
Assigned Employees
To assign a default role and rate to a team member, scroll down to the Assigned Employees section of the billable rate's page and click + Assign employee.
Select the employee from the drop-down to assign the role and rate to use by default when planning future projects or logging time to a project with no assigned role.
To note: default roles and rates can also be assigned within the Team Directory as well as the Employee Profile.
Edit Assigned Employees
To edit the default role and rate that's assigned to an employee, click on the "..." button to the right of their name and select Edit default. This will open the employee's Profile where the default role and billable rate can be edited as needed.
Remove Assigned Employees
To remove the default billable rate that's assigned to an employee, click on the "..." button to the right of their name and select Remove default.
A pop-up will appear with a warning that the change is about to take place. Removing the default billable rate will only remove it for future use; it will not change any current projects, timesheets, or invoices that use this billable rate.
Adding Rate Changes
To schedule a future rate change for a billable rate, scroll down to the specific role and click on the name of the billable rate.
The next page will take you to the rate's Billable rate schedule, which will show any historical, current, and future rate adjustments. From here, click Add rate change.
A pop-up will appear where you can enter the new hourly billable rate and the Effective Date, which will default to tomorrow's date.
If this role/rate has hours allocated in Staffing, a warning will show which projects may be rebalanced once the rate changes are made. You can also quickly determine which team members' profiles will be affected by the new billable rate.
Click Save once the necessary changes have been made.
π¨ Adding a new Billable Rate row to a Role that is already assigned to projects may cause the hours and associated fees to be rebalanced within the Project Planner, Draft Invoices, and Reports.
Editing Roles and Billable Rates
Editing Roles
To edit a Role's name, scroll down to the applicable role and click on the "..." icon in the upper right corner of the role. From there, select Edit (role name).
A pop-up will then appear allowing you to change the name. Click on Save once complete.
Editing Billable Rates
Edit Rate Name
To edit the name that is used with a billable rate, click on the specific billable rate for the applicable role.
From there, click on Actions in the upper right corner and select Edit rate name.
A pop-up will appear that will allow you to change the name. Click Save once finished.
Edit Billable Rate
To edit a billable rate used for a specific role, click on the billable rate to open the Billable rate schedule. Once here, click Edit for the scheduled rate that needs to be adjusted.
A pop-up will then allow you to edit the hourly billable rate and the effective date. This will also provide a link to see any projects that will be rebalanced in Staffing as well as any employees who will be affected. Click Save once finished.
Deleting Roles and Billable Rate Tables
Deactivating Roles
To deactivate a Role for future use, click on the "..." icon in the upper right corner of the applicable Role and select Deactivate. Deactivating a Role will not remove the Role from assigned projects, timesheet entries, or invoices that use that role.
If the role has been assigned to any employee as their default role, it cannot be deactivated until the default role has been removed from the employee. In this case, a warning will show any employees who are affected. Click Go to directory to open the Team Directory, where you can navigate to the employee's Profile and edit their default role and rate.
Reactivate a Role
A Role can be reactivated at a later time by scrolling to the bottom of the Billable rates page to the Inactive roles section. Click on the Show inactive roles toggle to view any deactivated roles.
To reactivate the role, click on the "..." button for that role and select Reactivate.
Deactivating a Billable Rate
To deactivate a billable rate, click on the billable rate for the applicable role to open the billable rate schedule. Once here, click on Actions in the upper right corner and select Deactivate.
If the rate has been assigned to any employee as their default rate, it cannot be deactivated until the default rate has been removed from the employee. In this case, a warning will show any employees who are affected. Click Go to directory to open the Team Directory, where you can navigate to the employee's Profile and edit their default role and rate.
Reactivate a Billable Rate
A billable rate can be reactivated at a later time by scrolling to the applicable role and clicking on the Show inactive billable rates toggle. This will show any inactive billable rates that were previously associated with the specific role.
Click on the billable rate that should be reactivated to open the billable rate schedule. From here, click Actions in the upper right corner and select Reactivate.
Deleting Rate Changes
To delete a future rate change for a billable rate, click on the "X" icon to the right of the specific row.
A pop-up will then appear to confirm that you would like to delete the rate change and warn that it cannot be reversed. Deleting a rate change will mean that the next rate in the rate table will be used to update any affected projects, invoices, and reports.
To proceed, select Yes, I want to delete this rate and click Delete.
To note: if there aren't any projects that will be affected by deleting the rate change, then the warning will only state that deleting the rate change will remove it for future use.
