Importing Vendors from QBO
Navigate to the Consultant Directory in the Contacts area of your account and select Consultants.
Next, click the Import from QuickBooks button at the top of the Consultant Directory to import vendors from QBO to Monograph.
This will pull in all vendors that exist in QBO and will allow you to select which should be imported into Monograph as consultants.
If existing consultants were created in Monograph prior to the sync, a Merge with Monograph Consultant column will appear. If a vendor from QBO should be merged with a Monograph consultant, you will select the appropriate consultant from the drop-down. Otherwise, if a consultant isn't selected from the drop-down, a new consultant will be created in Monograph.
Once all existing Monograph consultants have been matched to a QBO vendor, the drop-down will show "No more consultants left to select".
If there are data conflicts between the selected Monograph consultant(s) and QBO vendor(s) that are being merged, a warning will appear, asking whether the Monograph data or QBO data should be used.
🚨 To note: the option that is selected will be applied to all of the consultants/vendors being merged.
Import from QuickBooks
When importing a new consultant from QuickBooks Online, you'll be prompted to enable collaboration with all important consultants on their assigned projects. Click Yes to proceed with inviting the consultants or No to cancel.
Clicking Yes will automatically add the consultant to any project that they are assigned to going forward.
Creating a Consultant in Monograph that Matches a Non-Imported QBO Vendor
If you're creating a new consultant from scratch within Monograph that uses the same company name as a consultant that has not yet been imported into Monograph, you'll receive a warning to show that the company matches an existing vendor that hasn't been imported.
To continue, you'll need to import the vendor from QuickBooks Online instead of creating it within Monograph.
Sending Monograph Consultants to QBO
To send a Monograph consultant to QBO, go to the Consultant Directory and click on the consultant's name to open their details.
Once here, click on More in the upper-right corner and select Send to QuickBooks.
Next, you'll have the option to send the consultant to QBO as a new vendor, or to merge the consultant with an existing QBO vendor. Select Send this consultant as a new vendor and then click Send to send the consultant to QBO.
"Send this consultant as a new vendor"
When this option is selected, a consultant name will first be required before it can be sent to QBO. If a QBO vendor already uses the same consultant name, you will not be able to send the consultant as a new vendor.
Instead, the Monograph consultant would need to be merged with the matching QBO vendor, or the Monograph consultant's name would first need to be changed.
Once the Monograph consultant is successfully sent to QBO, a notification will appear in the bottom left corner to let you know that it was successful.
"Merge this consultant with QuickBooks vendor"
If this option is selected, a warning will appear to let you know that the Monograph consultant matches a QuickBooks vendor.
Use the QuickBooks Vendor drop-down to select the QBO vendor that should be associated with the Monograph consultant.
If the data associated with the Monograph consultant does not match the data associated with the QBO vendor, you'll need to select if the Monograph data should be used or if the QBO data should be used.
Once all options have been selected, click Merge. After the Monograph consultant is successfully merged with the QBO vendor, a notification will appear in the bottom left corner to let you know that it was successful.
