Utilization Rate Report

What is the Utilization Rate Report?

The Utilization Rate Report will show the percentage of billable hours worked compared to overall available hours based on time logged in Monograph as well as the ratio of Billable to Non-Billable hours for each month.

This report only reflects previous time logged; not any projections for future Utilization Ratios.


Navigating to the Performance Report

To access the Utilization Rate Report, go to Analytics > Staff and select Utilization Rate.


Setting Your Account Up for the Utilization Rate Report

To ensure that the Utilization Rate Report is as accurate as possible, you will need to set your team's utilization rates and determine available hours.

1️⃣ Setting your Target Utilization Rate

Default Firm Utilization Rate

To set your firm's target rate, navigate to Settings > Organization and scroll down to Utilization Rate. Here, input the Default Weekly Hours and the Target Rate percentage.

This target percentage will show as a dotted line in the report's graph, allowing you to easily see how the firm has been tracking towards that goal. You can opt to apply this target rate for all employees who don't have a utilization rate set by checking the 'Use for employee profiles without a utilization rate' option.

Individual Utilization Rate

Alternatively, you can set individual targets for employees by navigating to Staff > Team > Directory and selecting the individual to open their employee profile. Once here, scroll down to Utilization Rate and click Edit to add the percentage. After the rate is added, click Save.

2️⃣ Setting Available Hours

Setting available hours helps ensure that all overhead items that should count toward Available Hours are noted as such. For most firms, items like Personal Time Off will not count toward the firm's available hours. Items like Marketing or Business Development often will.

To determine which overhead items are counted towards available hours, navigate to Settings > App Defaults > Overhead List. Click Edit on the overhead item to update.

Once here, use the toggle to select Available Hours. Click Update once the changes have been made.


Different Parts of the Performance Report

Utilization Target Rate Line - this dotted line will indicate what your Target Utilization Rate is. If graphs go past the bar, we have gone past our Target Utilization Rate.

Utilization Rate Line - the solid teal line above each bar graph will indicate your utilization rate for the month.

Bar Graphs - the bar graphs beneath the line will indicate billable vs. non-billable hours. Billable hours will be represented by the blue bar and non-billable hours are represented by the hatch bar.

Hovering over each respective bar graph will also give you the number of billable or non-billable hours.

Further Insights - If you would like to see a Utilization Rate breakdown by person, you can do this by selecting 'View more detail' in the top right corner of the graph.

The detailed view will provide insight into each individual's utilization rate for each month and there is also the option to filter to specific people to see their utilization rate over a selected time frame. If no individual is selected in the filter, then when you expand each month, you will see each team member listed as well as their Target Rate and other information for that month.

If you use the People filter, you can select one or multiple individuals. If one individual is selected, then their target utilization rate will show as the dotted line and their utilization rate over the time period will track accordingly. If more than one individual is selected, then the Target Utilization Rate will go back to the default Organization-wide rate.

The month-over-month analysis will allow you to examine in more detail the Hours Worked. Clicking on both the month and the name will take you to Organization Time Log for more information on the hours worked. The Organization Time Log will be filtered to the same date range and selected individuals.



🚨 Note: This Report is restricted to a monthly view. Weekly views are currently not supported.


Where Does This Information Come From?

This report uses all time logged in Monograph. Billable hours are hours logged to Billable Activities on Billable projects. To find the utilization rate, take the total billable hours and divide them by the available hours, and then multiply that number by 100.

If an Activity is not required on Timesheet entries, then all hours logged to Billable Projects will show as Billable. Non-Billable Hours are hours logged to Non-Billable Activities, Non-Billable Projects, and all Overhead Activities marked as 'Available Hours'.

Available Hours are the sum of both Billable and Non-Billable hours but exclude Overhead items marked as not counting towards Available Hours (aka PTO). The Billable Hours are then divided by the Available Hours and multiplied by 100 to equal the Utilization Ratio.


Report Use Cases

How can I tell if my team is hitting our target utilization rate?

Set a date range and if the teal utilization rate line is in line with the dotted target line then your team is hitting their targets.


Permissions Setting to Access the Performance Report

By default, admins will have access to this report. In order to allow other users to have access, the "View team reports" permission will need to be enabled.

If you do not see the Reports option, it means your current access level does not permit you to see team reports. Please speak to your Admin for assistance.
