Creating and Sending Proposals

How to upload a lead proposal and send for a client's approval.

When creating and managing leads, you can upload a proposal to send to the client for easy viewing and approval.

Additionally, the location, project details, and budget information can be copied from Monograph and pasted into your proposal document. To copy all of the information, click Copy all, or click on the individual copy icons to only copy specific information.

Uploading and Sending the Proposal

To create a proposal within a lead, click Upload to open the proposal upload page, where you can upload the PDF of your proposal. After the proposal has been uploaded, if needed, select Replace to replace the document that was uploaded with another file. Alternatively, click Download PDF to download a PDF of the proposal.

After uploading the PDF of the proposal, select the Approver using the dropdown to determine who should receive the proposal. By default, the primary contact for the client will be selected.

Finally, use the Note to Client field to add a note (optional), which will be sent with the proposal via email when you click Send.

Once the proposal is uploaded, Monograph will scan and compare it to the Budget that was built for the Lead. If any budget mismatches, new items, or missing items are detected, they will appear highlighted on the right side of the lead's proposal Budget page.

This is important because, when you win the lead and/or the proposal is approved, Monograph will generate a project using the lead's budget, so the planned budget and proposal should match.

Clicking View Proposal will open the PDF of the proposal to review, while Dismiss will remove the highlighted discrepancies.


Proposal Acceptance

When the proposal is sent to the client for review, they can accept it directly through Monograph. To learn more about the client's user experience with accepting a proposal, refer to this article.

Proposal Accepted

When a proposal is accepted, you'll be notified via email and/or an in-app notification depending on your notification settings. At the same time, the lead card will automatically move to the Closed column in the Pipeline and will be marked as "Won". A billable project will then be automatically generated, using today's date as the start date.

If a budget is added to the lead, the project will be generated using that budget information. If there isn't a budget, but there is a proposal, then the proposal information will be used when generating the project. In either case, the project can be edited as needed after it has been generated.
