Creating a New Project Template from Scratch
Select Projects from the main menu, followed by Templates and click the "New Template" button found on the upper-right. Please note that only users who have permission access to Edit All Projects will have the ability to create or edit a project template.

Once clicked, a pop-up window will appear for you to enter the Template Name, Number, Color, and whether it is billable or non-billable. If needed, these details may be changed or updated at a later time. Colors will be saved to the Template. For example, if you use red for residential projects and you create a residential template and use the color red, all future templates will also use this color. Once all fields have been completed, click the "Create" button to continue.
๐กDepending on your industry, the default templates used in Monograph may vary.
Budget (Template Mode)
After entering your template details, you'll be directed to the project budget where you will add phases, budgets, roles, and more. This will appear as the same screen displayed when creating a new project as the process of creating a new template and a new project are very similar.
To begin, click on the edit icon above Service Fee and enter the appropriate figure. This figure should include the sum of all services provided during the Fixed Fee phases and does not include Hourly phases. Once entered, click the "Save" button to continue.
Next, you may begin adding phases to your template as you normally would when building a project for the first time. Once all phases have been added, you have the option of including any further detail you wish such as allocating phase budgets or assigning team members to each phase.
Remember, a template will be saved with whatever information you include. This means that if you want a relatively simple template, add less detail and wait until actually creating a project to flesh out further information.
Consultants (Template Mode)
As an added option, you may also include any preset consultant information within your template. Click the edit icon above Consultant fee and enter the appropriate figure. This figure should include the sum of all consultant services for this project. You will have the opportunity to divide up this sum and assign to specific consultant types later on.
Including this information in a template is handy if you find yourself working with the same consultant types from one job to another. As with all areas of the template, you will be able to update this information, later on, should you wish to revise it when creating an actual project. Learn more about consultants here.
General (Template Mode)
Here you will have the option of including any information in the Notes section that you would like copied over to any projects you create using your template. Please note that the details you see in Project Information such as color and number specifically refer to your template and will not be copied over to a project.
โ
Once you have added all your desired detail to your template, click the "Done" button in the upper-right corner to return to the Template Overview.
Milestones & Deliverables (Template Mode)
From the Template Overview, you can also opt to include Milestones and Deliverables. Any Milestones or Deliverables you add to your template will be copied over to a new project created. The dates you set within your template will shift based on the Start Date you select when you create a project from your template.
Keep this in mind, as the duration between your milestone and deliverables dates will remain the same from your template. This means that if there is a 10-day gap between Task A and Task B in your template, the same 10-day gap will be copied over to your project. Learn more about milestones and deliverables.
Save an Existing Project as a New Project Template
You might already have an existing project that is perfectly suited for a template. Perhaps it's a common scope, set of phases, or teams assigned - whatever the reason, any project you've built is available to save as a new template.
To begin, select Projects from the main menu, and click on your desired project. We call this the Host project. From the Specific Project Overview, click the "More" button on the top-right corner and select Save as Template. Only users with permission access to Edit All Projects will have the ability to create, save or edit a project template.
Selecting Save as Template, will cause a pop-up window to appear for you to enter the Template Name, Number, Color, and whether it is billable or non-billable. If needed, these details may be changed or updated at a later time. Once all fields have been completed, click the "Create" button to continue.
This will load your template with all of the same information from your Host project. It is an exact copy and any changes you make on this page will not impact the original Host project - you are only making changes to your template.
From here, you may choose to make any edits that you wish. Any changes or revisions made will become part of the template. Consider reviewing some of the following details when making changes to your template prior to saving:
Service Fee: Do you want the current fee saved to this template? Most projects will not have the exact same starting fee or budget breakdown
Phases: Do you want to save all of the current phases?
Fee Type: Will your phase fee types remain Fixed/Hourly?
Assigned Team Members: Should this template include the same team members, roles, and rates?
Once you have made any desired changes, click the "Done" button in the upper-right corner to return to the Template Overview.
๐ Best Practice: Create as many templates as necessary to speed up your project-building process. Templates can be based on similar budgets, a set of team members, and more. Don't hesitate to include as much detail as you would like! For more information check out our FAQ on Project Templates.
