Monograph's Mobile App

How to track time using Monograph's mobile app for iPhone

Features Below Available To: ✅ Grow Plan ✅ Track Plan ❌ Free Plan

Monograph's mobile companion app allows you to log time while on the go, allowing you to remain focused on your work while keeping track of time accurately.

Getting Started

Download on the App Store.

To get started, search for "Monograph: Time and Expenses" in the iOS App Store or "Monograph" in the Google Play Store, or use the applicable link above on your mobile device.

After downloading and opening the mobile app, log in using the email and password associated with your Monograph account. Click "Forgot your password" if you have trouble logging in and need to reset your password.

Upon logging in, the mobile app will open to today's date and, by default, will show a list of any projects or overhead categories that have been added in Staffing for the current week for the team member who is using the mobile app.

When logging in for the first time, you'll be prompted to allow notifications, which will allow Monograph to send notifications to manage your time tracking.

Allowing Notifications

Click Allow Notifications to be taken to your iPhone Settings, or click Don't Allow to skip setting up notifications. This can always be updated in your iPhone Settings at a later time.

For users with an iPhone 15 or above, your timer can be quickly accessed by clicking on the Monograph logo that appears at the top of your phone in the dynamic island.

Clicking the logo expands the timer to show the details. The timer can also be stopped by clicking Stop timer.

For all other iPhone users, the timer will appear on the lock screen while it is running in the background.

💡 All team members can access the mobile app regardless of their permission levels or whether the browser Timer is enabled in Settings > App Defaults > Timer. There isn't a way to block someone from downloading or using the mobile app to log time.

Logging Time

Whether logging time in the mobile app, browser, or desktop app, any hours entered in one platform will be updated to appear on the other platform after the timer is stopped and the page is refreshed.

Time can be logged in three different ways: by using the built-in timer, by describing the work in natural language, or by manually entering any hours that have been worked.

🚨 Timers do not sync between the browser, desktop app, and mobile app. If a timer is started on one platform, it will not automatically start on the other without stopping the timer first.

To continue a timer on a different platform, first stop the timer, then:

  • Browser → Mobile App: Refresh the app by dragging the screen downward, then restart the timer in the app.

  • Mobile App → Browser: Refresh the browser, then restart the timer in the browser.

1️⃣ Timer Entries

To start the timer for a Staffed project, click on the "play" icon within the project's card. This will start the timer right away, and the icon will change to a "stop" icon to quickly stop the timer when needed.

To start a timer from scratch, click on the "+" button in the bottom right corner, select Time Entry, and then select Start Time.

While the timer is running, it appears at the bottom of the screen in the mobile app. If any edits are needed while the timer is running, such as changing the activity or adding a note, click on the timer at the bottom of the page to open the time entry details.

Click Save once the necessary changes have been made.

🚨 If your firm has settings enabled that require timesheet activities or timesheet notes, you will also be required to add activities and/or notes when creating timesheet entries in the mobile app.

To stop a timer, click on the "stop" button for the project. The timesheet entry will then be saved with the hours that were recorded while it was running. A previously stopped timer can then be started again at any point in the day by clicking on the "play" button again.

Switching Project Timers

To change timers while an existing project timer is running, first click on the "stop" button for the current timer and then on the "play" button for the new timer (or the "+" button to start a different new timer). Both timers will then appear as separate cards.

Alternatively, if the "play" button is clicked for another project while a timer is currently running, a pop-up will appear to confirm if you would like to continue. Click Yes to stop the current timer and start a new timer or click No to cancel and continue with the existing timer.

2️⃣ Describe Entries

Hours can be added to projects simply by describing the work in natural language, either verbally or in written text. This can be completed through free-form descriptions of the work performed, or using shorter command-style instructions.

Examples

  • "I spent about an hour reviewing structural drawings for the Midtown Office project before meeting with the client.”

  • "Log 45 minutes to Project Atlas for client coordination."

To add entries by describing them, click on the "+" button in the bottom right corner, select Time Entry, and then select Describe Entry.

Monograph will interpret the request and generate a suggested time entry by using the available details, such as:

  • Duration

  • Project

  • Phase

  • Activity

  • Notes

  • Approximate time worked (when possible)

Users can review, edit, and approve generated suggestions before they are added to their timesheet. If all required information is available and Monograph has high confidence in the entry, the suggestion step will be skipped and the time entry will be added directly to the timesheet.

Describing Bulk Entries

If multiple entries should be added all at once, they can be described together; they do not need to be added individually. After all of the entries are described, Monograph will sort the entries into the applicable timesheet suggestions.

3️⃣ Manual Entries

If you don't want to use the timer, hours can be added to projects manually. To manually add hours for a Staffed project, click on the "edit" icon within the project's card to add the hours as well as make any adjustments to activities or notes.

To start a timer from scratch, click on the "+" button in the bottom right corner, select Time Entry, and select Manual Entry.

When creating a manual entry, the initial hours will default to 0:00, but you can click on the hours to enter the hours/minutes worked. Alternatively, you can select any of the pre-populated increments.

The Date will default to today, but clicking on the date will allow you to update it to a different day.

If the project or overhead category isn't already populated due to being a new entry, click on Project/Overhead to select the project/phase or overhead category to log time. Any overhead items and recent projects will appear by default, but you can use the Search bar to search for any active projects/phases.

If a project/phase is selected, options to add both a Role and Activity will appear. Click on both options to select the applicable Role and applicable Activity that should be used to log the time. An option for a Note will also appear.

If an overhead category is selected instead of a project/phase then only the option to add a Note will appear.

Once all of the applicable selections have been made and the hours have been entered, click Save. The entry that was manually added will now appear in your project list for the day.

💡 When adding time manually, hours can be typed in as either hours/minutes or as a decimal. If using a decimal, it will auto-translate to the 0:00 format. This option is currently only available within the mobile app, not in the online browser.

Editing Entries

To edit a timesheet entry at any time, navigate to the applicable date and click on the "edit" button for the entry. This will open the entry's details where you can edit the hours that have been entered or the details that were previously added.

Alternatively, to edit an entry for a timer that is currently running, click on the active timer at the bottom of the page to open the timer's details.

After any necessary changes have been made to the hours or details, click Save.

Deleting Timesheets

Currently, you can't delete a timesheet entry from within the mobile app. To delete a timesheet entry, go to Timesheets in your browser and delete the entry.

Submitting Timesheets

As hours are logged during the week, the total hours logged each day will appear under each date. The Hours this week timer shows the total hours logged throughout the week.

After all hours have been logged, click the Submit button to submit your timesheet for the week. If a timesheet has already been submitted and changes need to be made, make any edits necessary and click Resubmit.

Depending on your firm's Lock Timesheet settings, timesheets will be locked after a certain period of time. If a timesheet is locked, a lock icon will appear instead of the Submit or Resubmit button.

If edits are needed after a timesheet is locked, please contact your firm's admin to request that they unlock the timesheet.

Adding Project Notes

Quickly attach notes to your projects by typing, recording a voice note, or snapping a photo. All notes are automatically saved to the selected project and will also be visible from the desktop version of Monograph. You can start the timer and record a voice note at the same time - no need to pause your workflow.

To start using this feature, grant microphone access on your mobile device.

I started a timer in the browser or desktop app, but it isn't appearing in my mobile app (or vice versa).

If you start a timer in the mobile app, browser, or desktop app, it will not appear on the other platform until you stop the original timer. Once the timer is stopped, refresh the mobile app, browser or desktop app (wherever the timer is being picked up) and it will appear as an option to start.

How quickly does information sync between the mobile app and browser or desktop app?

Data is synced between the mobile app and your browser (or desktop app) in real time. However, you will need to refresh your page (either the browser or the apps) for any changes made in one platform to appear in the other.

My staffed hours aren't appearing in the mobile app.

Currently, staffed hours will not appear within the mobile app - only staffed projects will appear.

Can I log time to a future date?

No, you cannot log time to a future date. If the timer is started for a future date, or if a project is manually selected on a future date, the time entry will be recorded to the current day.

Why can't I log time without including an activity?

If you see a warning that activities are required, this means that your firm has enabled Required Activities for timesheets. To log time, please first select an activity.

How do I delete a timesheet entry in the mobile app?

Currently, you can't delete timesheet entries in the mobile app. To delete a timesheet entry, you'll need to do so by logging into Monograph in your browser.

How do I add expenses while using the mobile app?

Expenses can be added by clicking on the Expenses page. Click here to learn more about how to upload expenses within the mobile app.

Is Monograph recording my audio or storing it?

No. Dictation is live streaming, not recording. When you use "Describe entry," your microphone audio is streamed in real time for transcription - Monograph does not save an audio file on your device or on our servers. Only the resulting text is used, and it's submitted exactly as if you had typed your entry description yourself.

Do you send my voice to a third party to transcribe it?

Yes. Your audio is streamed over a secure connection to AssemblyAI, our transcription provider, using a short-lived access token issued per dictation session. The transcript text comes back to the app to create your time entry; Monograph does not retain the audio.

You can revoke microphone access at any time in your device's Settings, and the app will simply use the typed entry flow instead.

What if dictation isn't working or my connection is poor?

Dictation requires an internet connection, since audio is streamed live. If it fails:

  1. Check microphone permission - if you denied the prompt, re-enable it in your device settings and try again.

  2. Check your connection - a weak or dropped connection will interrupt the live transcript.

  3. Retry - stop and restart dictation. You can always fall back to typing your entry description manually.
