Monograph will send different email notifications depending on the options that you have selected in your Employee Profile or options that your firm has included in the overall Settings. There are three different types of email reminders that your team will receive depending on permissions and Settings enabled.

Personal Notifications
To opt-in or out-out of personal email notifications, click on your name/profile picture in the bottom left corner of the navigation menu and select Notifications.
After selecting the Notifications section, you can navigate through the available options to customize the alerts you wish to receive. These include Project Notifications, Staffing Notifications and Timesheet Notifications, allowing you to tailor updates to suit your specific needs.
Project Notifications
🔲 Active phases over budget and trending over budget
This email provides recommendations on how you can improve your projects and make informed staffing decisions based on data within Monograph. This is sent weekly at 6:00 am ET on Mondays.

🔲 Deliverables assigned to you, due soon, overdue, and comments on your deliverables
A daily email that provides a list of upcoming, due, and overdue deliverables that are assigned to the specific team member. This email is sent daily at 7:45 am ET Monday through Friday.

🔲 Status changes for all deliverables
This email is sent whenever a deliverable is marked as Completed on a followed project. It will include the team member that marked the deliverable complete as well as the date and time. It will also show the milestone that the deliverable is a part of.

🔲 Comments on all deliverables
This email is sent whenever a comment is left on any deliverable on a followed project. It will include the team member who left the comment as well as the content, date, and time that it was left. Clicking on the Reply button will take you directly to the deliverable to leave a comment.
🔲 Completed phases (budget spent, unbilled amounts, unpaid invoices, and unpaid bills)
This email provides a summary of highlights about a phase 7 days after the phase ends, such as spending vs budget and if there are any unbilled hours or unpaid invoices or bills. This is sent at 6:00 am ET but the frequency will vary.
Anyone with permissions that include "Edit all projects" or "Edit assigned projects" AND "View invoices and bills" can opt-in for this notification.
How to Follow Projects
Following or unfollowing a project will determine if that project is included in any of the Project Notification emails. You will automatically be following a project when you are the creator of the project or you have been assigned to the project.
If you no longer want to be notified about a project, you can unfollow it! Every project email will have links to unfollow a given project. Alternatively, you can do it from your notification settings or the project itself.
To unfollow a project from the notification settings, navigate to Notifications > Project Notifications and click on the Show projects you are following toggle to show a list of all of the projects you currently follow. From there, click on Unfollow as needed.
To follow or unfollow a project from within the project, navigate to the project-specific overview page and click More in the upper right corner. From there, select Unfollow project or Follow project as needed.
Staffing Notifications

The Weekly Employee Insights email provides insights and recommendations on how you can improve your projects and make informed staffing decisions based on staffing data within Monograph. This email is sent weekly at 6:00 am ET on Mondays.

Timesheet Notifications
🔲 Timesheets Missing Activity or Role
A weekly email that provides a list of any timesheet entries that are missing an activity and/or role. This email is sent weekly at 6:00 am ET on Fridays.
This email will link to the Organization Time Log, where you can use the bulk edit timesheets feature to quickly update any missing roles and/or activities.
Firm Notifications
Timesheet Reminder Notification
When enabled, the timesheet reminder notification sends an automatic reminder email and mobile push notification (if your team member has the Monograph mobile app and notifications enabled) to your team each week based on the day to send notification and time of day included in the settings. The notification message will default to a general message, but it can be updated based on your firm's needs.
To enable or disable the timesheet reminder notifications for your firm, navigate to Settings > App Defaults > Reminder Notification and use the "Reminder notification" toggle.
To note: all team members will receive this notification regardless of whether they have already submitted their timesheet for the week or not.
Time Off Approval Notifications
For any users who are added as an approver for a Time Off policy, an email notification will automatically be sent to notify them of the time off request.

In-App Email Notifications
Email notifications are delivered in two formats: batch emails and individual emails. Each type is designed to help keep your inbox organized while ensuring you don’t miss important updates.

Batch Email Notifications
Batch emails group multiple updates into a single summary, sent on a set schedule. These are separate from your regular weekly insight emails.
Each notification in the batch email opens the corresponding section in the web app, allowing for quick access to important updates. Up to 50 notifications are displayed per email. A "View More" option is available at the bottom, providing a direct link to the full in-app notification panel

Activity on deliverables assigned to you
Activity on all deliverables
Comments or tags on invoices and bills
Bills received and awaiting review (shared projects)
Invoices accepted
Consultant accepted an invite
Consultant declined an invite
Deposit made to your account
Invoice paid
Individual Email Notifications
These are sent as standalone emails and are not included in batch summaries. Their frequency and timing vary depending on the type of notification.
Phase budget insights (weekly)
Phase summary insights (at the end of a phase)
Employee and firm capacity updates (weekly)
Timesheets missing roles or activities (weekly)
Weekly timesheet reminders (based on firm settings)
Invoice rejections (sent immediately)
Bill reminder emails (prompting invoice creation for a project)
Some notifications are sent through other channels and aren’t controlled by your in-app email settings. These include:
Team invites
Invoices sent by email
Reminder emails to pay invoices
Invite to collaborate on a project
Other notifications (e.g., direct troubleshooting links, third-party system alerts, Monograph marketing messages, and announcement emails)
Note: The types of email notifications a user can receive may differ based on their assigned permissions. This means that not everyone will see the same set of notification options in their emails. To learn more click here.
Frequently Asked Questions
Can I edit another member of my team's notifications?
No, team members can only edit their own personally-managed email notification settings. However, any changes made to firm-managed email notifications such as timesheet reminder emails and time off approval emails will affect all team members and cannot be edited on an individual basis.
I was assigned to a project but I don't want to receive notifications for that project.
If you were assigned to a project but don't want to receive email notifications related to the project, click on "Show projects you are following" to expand the project list and click "Unfollow" for any projects necessary.
Do all team members have the ability to enable any of the email notifications?
While all projects have access to the Notifications Settings, some settings depend on the team member's permission levels.
Profiles without the "View invoices" and "Manage staffing" permission will never see the “Completed phase” email notification setting.
Profiles without the "Manage staffing" permission will never see the "Active phases over budget" email notification option or "Employee and firm capacity" email notification setting.
